Neighbourhood Administration Support Officer

Salary: £12.50 per hour - raising to £15.08 after 12 weeks
Hours: Monday - Friday - 37 hours per week
We are seeking a highly experienced & motivated administrator to work as a Neighbourhood Administration Officer, you will be joining a very busy, friendly, supportive and professional team at Thanet District Council. The Neighbourhood team helps the District Council meet the demands of the Neighbourhood services department.
The team is responsible for providing technical and administrative support to the Neighbourhoods services. This includes processing a wide range of licensing applications, inspecting vehicles and premises for licence compliance. Preparing reports and attending committee meetings. Attending site visits with officers, dealing with complaints etc
As a Neighbourhood Administration Support Officer, you will need to have excellent IT skills with experience in using G-Suite. You will need excellent administration, organisational, prioritisation and customer service skills.
A full clean UK driving licence is essential. A standard DBS check will be carried out.
This is a temp to perm position for the right candidate.
Responsibilities: -
Undertake documentary and physical checks of licence applications.
Receive and process service requests from a wide range of stakeholders.
Undertake inspections of vehicles and premises for licence compliance or as directed by the Neighbourhoods Service Management Team.
Support senior officers with the preparation of legal notices, licences, reports, Court documents and correspondence because of inspections and investigations.
Undertake environmental monitoring & sampling of specified environmental parameters in accordance with departmental procedures & guidance as directed.
Attend site visits with officers from the Neighbourhoods Service to provide assistance and support e.g. filthy and verminous premises, public health duties, unauthorised encampments
To resolve complaints and communicate results to the public and businesses in a firm but sensitive manner often in confrontational circumstances.
To provide advice and guidance to the public, other department members and colleagues.
Complete all types of Licensing Applications
Responsible for ensuring collection of licence fees.
Process Review of Premises Licence applications in accordance with the statutory framework, liaising with neighbourhood services teams, licensees, and advisors.
Provide day to day customer service.
Produce relevant and timely communications with licensees to ensure that they are informed of changes in licensing law
Use the financial system to raise orders, pay/ raise invoices for the service.
Run statistics from the department system for government returns and Managers within the Neighbourhoods Service.
Upload Food Hygiene Scores fortnightly to the Food Standards Agency.
To install, maintain, use and monitor associated technical equipment (Digital audio, CCTV and equivalent) associated with the enforcement of regulatory and community services and review the findings in order to ascertain possible breaches of legislation.
Support in meeting the requirements of private water legislation.
To support in the monitoring of & implementation of Local Air Quality Management.
Provide information requested under the Environmental Information Regulations and Freedom of Information Act within the specified timescales.
Carrying out land registry requests using the HM Land Registry website.
Sending out invoices requesting payment in relation to services provided e.g. Part B subsistence fees for environmental permits
Checking outstanding notices on the system as requested by the Land Charges Team.
Keeping the Infectious Disease notifications up to date for the Public Protection Team and sending out relevant letters providing advice and keeping this information updated on google sheets for the team.
Reviewing revising and maintaining all council emergency plans, policies, equipment, accommodation.
Arrange staff training programmes and duty rotas for the neighbourhood service.
To keep the Thanet District Council website up to date with guidance and information.
To undertake research or surveys related to the works in the department and any related training necessary to progress in the position.
Provide ongoing technical support to all the teams within the Neighbourhoods Service.
Provide administrative, policy, funding and bid writing support for the Multi-agency Task Force including but not exhaustively taking the lead on allocated administrative processes as necessary and dealing directly with initial enquiries via telephone, email and/or office visits.
Provide support in the bid-writing and production of tender proposals for elements of the Neighbourhoods Service and the Multi-agency Task Force.
