The efficient day-to-day assistance and coordination of the Facilities Operations in the Hill Street office and the Cisco Screen Based Switchboard. Co-ordination and control of stationery and other miscellaneous supplies for 15 Hill Street and, if required, Richemont International London Corporate Offices. (The Cisco system is soon to be replaced by a Teams environment).
1. Operate the screen-based telephone switchboard (Cisco Call Manager) ensuring calls are answered expediently and processed accordingly. (Current experience on other systems is acceptable as training will be given on the Cisco)
2. Take messages for staff and ensure that these are passed on accurately and expediently.
3. Liaise with the FM and the telephone system maintainers regarding faults with the telephone system
4. Provide training of the telephone system, as required, to members of staff
5. Control of stationery stocks and replenishment as appropriate, including Corporate (the latter in liaison with the FM)
6. Analyse the monthly stationery invoice reporting any errors as appropriate.
7. Office Machinery fault reporting and monitoring
8. Ordering of Janitorial Supplies and maintenance thereof
9. Act as relief Receptionist at 15 Hill St as necessary (normally during the lunch window and covering periods of holiday and sickness)
10. The distribution, collection and preparation for dispatch of post in the absence of the nominated individual
11. Act as Fire Marshal in the absence of the Receptionist

13. Undertake such further duties as your skills, qualifications and experience allow and/or as may be assigned to you by the Company from time to time
14. Assisting where needed with the set-up and IT provision for meetings
HOW WILL YOU EXPERIENCE SUCCESS WITH US?
15. Maintaining a professional standard to all aspects of the Facilities scope
16. Monitoring Stationery costs
17. Responding to requests for stationery promptly and questioning where appropriate
18. Ensuring the Reception is always adequately covered as needed
19. Any ad-hoc requirements from visiting senior execs
20. Ensuring good working knowledge and operating requirements of all Hill Street Meeting Rooms
21. Familiarising themselves with the members of the Richemont Senior Executive Committee.
22. If at any time, the Facilities Manager is absent, the position will be supervised by the Facilities Supervisor; however, they will ultimately be managed by the Facilities Manager
23. As well as being the relief Receptionist this role would also conduct elements of the Facilities Supervisor role in their absence as appropriate
24. Cisco Call Manager Telephone System and associated handsets (or equivalent)
25. First Aid – If a current certificate cannot be provided will be required to attend an intensive first aid course.
26. Good knowledge of MS Office Word, Excel and Outlook
27. Previous experience in a similar environment
28. French useful but not essential.
29. Experience of SAP – useful but not essential
