Job Title: Facilities Assistant
Location: Newcastle
Working hours: 37.5, day shifts
Pay rate: £13.00 per hour
What you'll be doing:
As a Facilities Assistant at Balfour Beatty, you will report directly to the Facilities Manager and play a key role in the day-to-day operations of the office. Your responsibilities will include a variety of tasks, ensuring that the site runs smoothly and meets the highest standards of service and cleanliness. You will be involved in:
Front of House:
* Acting as the first point of contact for visitors at the reception desk, delivering exceptional customer service.
* Managing visitor registration, answering the telephone, and addressing any queries raised via the shared mailbox.
* Overseeing the online parking portal and dealing with day-to-day queries from employees, contractors, and visitors.
Meeting Rooms:
* Ensuring all meeting rooms are maintained to an impeccable standard at all times.
* Managing the meeting room booking system, ensuring rooms are prepared for meetings (checking/clearing between sessions, operational checks of equipment).
* Coordinating any required hospitality arrangements.
Mailroom:
* Handling the incoming and outgoing post, distributing mail to recipients across the office.
* Managing the in-house company hybrid mail solution.
Other Duties:
* Providing general admin support as needed, including managing stock control for stationery and print stations across the building.
* Maintaining the access control system and issuing passes to Balfour Beatty staff.
* Ordering and replenishing office and kitchen consumables, ensuring the tea points are fully stocked and well-maintained.
* Supporting the Facilities/Office Manager, assisting with contractor management and building maintenance, ensuring accurate records are kept for all facilities.
* Proactively reporting maintenance issues and assisting in their resolution.
Who we're looking for:
We are seeking a dynamic, enthusiastic individual who thrives in a busy environment. Previous experience in a similar role is an advantage but not essential, as full training will be provided. Ideal candidates will have:
Essential:
* IT literate with a solid understanding of Microsoft Office.
* Comfortable interacting with people face to face, at all levels.
* Excellent verbal and written communication skills.
* Strong organisational skills with the ability to multitask and prioritise.
* Able to work independently and manage fluctuating workloads.
Desirable:
* ABIFM or NVQ in Business Administration or a similar qualification.
* Familiarity with Facilities Management practices.
* First Aid and/or Fire Marshall certification.
