This role is an extremely exciting opportunity for someone to join us on an operational apprenticeship and support our Birmingham office with their operational International Logistics requirements. Everyday, PRG ships equipment to the world’s largest events including Coldplay, Doja Cat, Download Festival, Lenny Kravitz, David Gilmour, MTV EMAs and so much more. Our logistics team are the backbone of the business, ensuring these events receive all their equipment on time. In this role we will teach you everything you need to know processing road, air and sea shipments for our customers & Stakeholders, completing bookings with shipping lines, agents and haulier’s. Delivering outstanding service to both our internal and external customers and stakeholders is everything to us and we are looking for someone who has service at the heart of everything they do. As part of our service delivery you will make sure you are tracking and communicating all updates to customers and stakeholders in this role, making sure their shipments arrive on time and informing them of any delays. You will also have the opportunity to learn all aspects of customs clearance processes on all import and export jobs as well as how we allocate suppliers, provide quotations to internal stakeholders, raise purchase orders and handle large scale projects in the Live Events industry. We are looking for someone who can come in and hit the ground running, who has an appetite for learning, exceptional customer service skills and a keen eye for detail. What you’ll be able to offer • Minimum Requirements: GCSE Grade C/4 and above in English and Maths are essential • Preferred Requirements - A-Level / AS-Level / Level 3 NVQ / Level 3 C ertificate or D iploma educated • Ability to work well under pressure and able to work to tight deadlines • Extremely organised with a high attention to detail and accuracy • High IT literacy skills including strong competency with Microsoft Office, word, outlook and excel • Outstanding customer service skills • The ability to develop and build strong relationships over the phone • The ability to work in a fast-paced environment and be a strong team player • Accountability to yourself and others Duty 1 Make international shipment bookings for customer goods, which balance time, costand environmental impact. Duty 2 Monitor the progress of shipments to ensure they are on time and in line with therequirements of the booking. Duty 3 Use appropriate methods of communication to keep customers informed aboutshipment progress in line with the booking and advise customers in the event of delays toenable them to make contingency plans. Duty 4 Prepare quotes for customers regarding the shipment of goods, both within the UK and internationally. Duty 5 Enter details of booked shipments into own organisation's electronic operatingsystem. Duty 6 Co-ordinate own activities with those of internal colleagues to meet operationalpriorities. Duty 7 Manage cost throughout the whole shipment from despatch to final destination. Duty 8 Ensure that any specific documents required by a destination country are available attime of shipment. (e.g. Certificate of Origin, Carnet). Duty 9 Respond to enquiries from colleagues, customers and authorities about shipments. Duty 10 Manage complaints about shipments, escalating to senior staff in own organisationwhere necessary. Duty 11 Submit a customs declaration and/or provide clearance instructions to a third-partycustoms broker. Duty 12 (Air) Assess and provide recommendations to customers on international air freightoptions, including cost, time, airport and country specific regulations, tariffs and any otherunique requirements that impact. Duty 13 (Air) Book and process air freight by determining the relevancy of air freightservices, matching the nature of goods for international air transit with the availability ofspace and appropriate services. Duty 14 (Air) Arrange and ensure the security of goods during international air transit torequired standards, both in terms of the contract and in accordance with internationalaviation security rules and regulations. Duty 15 (Ocean) Assess and provide recommendations to customers on international oceanfreight options, including cost, time, and the port and country specific regulations, tariffs andany other unique requirements that impact. Duty 16 (Ocean) Book and process ocean freight by determining the practicality oftransporting goods by sea, matching the nature of goods for international ocean transit withthe availability and suitability of the equipment and resources such as shipping containers,that will be needed. Duty 17 (Ocean) Create and handle the correct Bill of Lading for export and imports(contract of carriage), thereby helping to ensure the cargo can be released to the customeras applicable. Duty 18 (Road) Assess and provide recommendations to customers on international roadfreight options, including cost, time, and the road networks and country specific regulations,tariffs and any other unique requirements that impact. Duty 19 (Road) Book and process road freight by determining the practicality of transportinggoods by road, by matching the nature of goods for international road transit with the natureand availability of road transport equipment and service schedules. Duty 20 (Road) Monitor the impact of international road transit times, road conditions androad features, providing guidance to colleagues and customers as required. For example,this could involve the impact on permitted driver hours and associated service solutions.
