Job overview
At the Royal Surrey County Hospital NHS Foundation Trust, we are a leading General Hospital and specialist tertiary centre for cancer.
We are looking to recruit an experienced, enthusiastic, and conscientious administrator to join us in Nuclear Medicine to provide general administrative and clerical support of a high standard to colleagues and managers within the team.
The successful applicant will possess excellent communication, time management, and organisational skills, be computer literate and competent in the use of Microsoft Office and data management. You should also have a good telephone manner, be patient-focused, and able to demonstrate an ability to work upon your own initiative whilst working well within a team environment. NHS experience is desired but not essential.
We expect a significant proportion of the workload to be focused on supporting the Quality Team to ensure the department is able to meet the service requirements. Secondly, to supply administrative assistance to the team under guidance to help maintain our appointments and booking team. This will be in conjunction with our senior leadership team.
You will require a sound working knowledge of office administration, and you may be required to provide ad hoc administrative support to our Nuclear Medicine Clinicians.
Main duties of the job
The post holder will provide general administrative support to colleagues and managers in the Nuclear Medicine team ensuring internal procedures are followed to a high standard and deadlines are met. This will include but not be limited to supporting the quality management team and providing a quality-focused and professional service to the trust and service. In addition, provide support with booking patient appointments and preparing key performance statistics (KPIs).

Detailed job description and main responsibilities
To provide and deliver a high standard of administrative support to the Nuclear Medicine department using a range of processes and procedures including:
1. Provide support for maintaining records for the Nuclear Medicine document control and Quality Management System (QMS), iPassport.
2. Monitor the QMS status and participate in related meetings.
3. Provide administrative support for NM appointments and liaise with referring clinicians regarding outpatient appointment scheduling when required.
4. Be proficient in the use of Trust software such as CERNER, CRIS, PACS etc.
5. Be proficient in the use of email, internet, Microsoft Office Applications including Word, Excel, PowerPoint, Outlook, Teams, and in-house apps.
6. Provide administrative support for monthly key performance indicators (KPIs).
7. Provide administrative support for monthly invoicing when required.
8. Coordinate and arrange a variety of meetings, including MDTs and educational meetings for the Nuclear Medicine and Consultant team in the absence of the post-holder.
9. Provide administrative and secretarial support in the absence of the post-holder to the Nuclear Medicine clinicians.
10. Deal with a range of enquiries from staff and patients and take appropriate action when required.
11. Assist in scheduling service visits by engineers and other external contractors when required.

Qualifications
* Knowledge of secretarial and administrative procedures and systems acquired through training to NVQ 3/A level or demonstrable and equivalent recent experience.
Knowledge
* Knowledge of specialist function/relevant practical experience.
* Computer literate and competent in the use of all elements of Microsoft Office, email, and internet skills, database and presentation skills. Booking, attending, and recording meetings.
* Experience of managing sensitive/confidential information. Knowledge of data protection and confidentiality requirements.
* Accurate transcription of minutes.
* Knowledge of working in a Healthcare environment.
