OVERVIEW OF THE JOB The Receptionist will provide a friendly, welcoming atmosphere to all visitors, staff, and students. They will ensure that the College’s front desk operations always present us in a very high-quality light, reflecting our position as a first-class provider of international education. The position requires a caring and welcoming attitude and a very high level of customer service. The role is one that requires a degree of adaptability and flexibility as the Receptionist will be on duty at times when many other members of staff are not working, such as evenings and weekends. During less busy times, the Receptionist will help out as part of the College’s general admin support team. REPORTS TO You will be directly responsible to the Head of Student Administrative Services. You will work within the framework set by and under the general direction of the Rector. LOCATION This role will be based at CSVPA in Cambridge. MAIN RESPONSIBILITIES OF THE JOB The following section outlines a more detailed but not exhaustive description of the duties pertinent to this post: Take a lead in maintaining a professional and friendly atmosphere in the reception area, ensuring it is a welcoming and comfortable place to work, and for people to visit. Ensure the reception area is kept neat, tidy and presentable at all times. Welcome students, staff and visitors to the college with a positive and professional manner. Ensure visitors have completed the sign in and out procedures at reception, are provided with the appropriate visitor badges, and that they are returned at the end of their visit. Ensure all visitors are met on arrival by appropriate staff and are supervised throughout the duration of their visit whilst onsite. Check and ensure that all students and staff are wearing their CSVPA ID card before they enter the campus. Sign students in and out. Deal promptly, politely and efficiently with all enquiries at reception (either in person, by telephone, or by email) using prioritisation skills. Offer general help and advice for students as needed when they call at reception. Communicate any messages taken to the relevant recipient promptly. Deal with all initial ‘walk-in’ enquiries and contact the appropriate staff to assist. Deal with any incoming post, ensuring parcel deliveries are signed for, and storing them in a safe location for the receptionist to distribute. Assist with DHL collections. Book Panther taxis as needed for staff and College members. Book rooms when requested by staff/students. Complete regular patrols of college campus to ensure the security of the buildings and residents in accordance with college procedures. Offer basic ‘welfare’ advice and ‘first aid.’ Help ensure that College rules are adhered to. Liaise with Boarding, with student present, and assist with extending permission slips/exeats. PERSON SPECIFICATION Good general IT skills, including the ability to navigate a database system. Good level of literacy and numeracy. Excellent customer service and communication skills. Ability to relate to young people. Ability and willingness to work in a multi-cultural environment along with being internationally aware and culturally sensitive.
