The Gynaecology department are looking for a motivated administrator to join a friendly and supportive team.
To provide efficient and high quality secretarial and administrative support to the Gynaecology team.
To have key working relationships with the clinical teams and secretarial colleagues in the Gynaecology & Obstetrics Department to provide a high-quality service to the
patients.
To be an active and supportive member of the department’s administrative and clerical
team.
• To have excellent keyboard and word processor skills in Word and Microsoft Outlook.
• To identify the most appropriate layout of complex documents, e.g., reports, minutes of meetings, on the word processor and to maintain an organised file management system.
• To complete all dictation documents, using the Dictate.IT software for clinicians and nurses within the Gynaecology department
• To act independently, ensuring that daily tasks and on-going workloads are prioritised and completed in agreed timeframes.
• To assist the managers with validation of day case bookings, and any anomalies with the bookings.
• To adhere to the departmental protocol for the use of the voicemail.
• To identify when a caller’s issue is sufficiently urgent to contact the clinician during a meeting/clinical session.
• To provide cover for other Medical Secretaries within the department when absent.
• To provide comprehensive support to the clinicians and their teams to facilitate / enable them to perform their clinical / academic responsibilities.
• To always ensure confidentiality, only releasing confidential information obtained during employment to those acting in an official capacity in accordance with the provisions of the Data Protection Act and its amendments.
• To work in accordance with the Trust’s Equality and Diversity policy to eliminate unlawful discrimination in relation to employment and service delivery.
