We are working with one of the UK's most experienced team of Chartered Surveyors & Commercial Property Experts and looking for a Commercial Property Management Administrator to join the team. Working hours are 8:45am 5pm (45 mins for lunch), Monday Friday, the firm offers a competitive salary (negotiable depending on experience) plus training, on-site parking, pension, 25 days annual leave (increasing with service) 1 extra day for birthday and bank holidays. You will play a crucial role in assisting the Management Surveyor in day-to-day, predominantly office-based activities, managing the rent collection process and updating the management software to reflect payments received and changes in lease arrangements. Main duties of the role include: Maintaining tenant and client records. Input new clients and tenants information into Management Software. Update Management Software when changes occur including Rent, Reviews and Lease Renewals. Meet tenants at their premises when we receive new instructions along with the Surveyor to introduce the team. Issue all rent/and service charge invoices to tenants. Issue all rent collection fee invoices to clients. Chase tenants in relation to late payments by email and phone. Check bank accounts daily and update management software when payment is received. Reconcile client bank account following the end of the month. Prepare Debtors List at least once a month and discuss course of action with surveyor/clients. Prepare rent transfer statements and transfer funds to clients on a monthly/quarterly basis. Prepare documents to assist surveyors and forward information to clients using Excel and Word. Receive calls and emails from tenants and clients and either deal with the enquiry or pass to surveyor. Essential: Experience of processing data on computer-based platforms. A good knowledge and experience of using Excel Attention to detail and confidence with numbers. The ability to take a supporting role in all aspects of the departments activities including day to day landlord and tenant matters. Strong written, numeracy, communication/IT skills and will be comfortable dealing with clients, suppliers, tenants and other professionals. Skills and qualifications: Experience with MRI/QUBE property management software systems preferable however training given if required. Good IT skills essential (especially Excel and Word). Strong written and verbal communication skills. Effective, confident communicator. GCSE/O-Level qualifications in English and Maths.
