Key Responsibilities:

Email & Call Management: Monitor and manage a shared inbox, ensuring emails are categorised, prioritised, and responded to promptly. Handle incoming calls and direct them to the appropriate team members.

Contract Administration: Countersign contracts upon client sign-up and maintain an updated project whiteboard.
*
Client Onboarding: Conduct welcome calls to new clients, prepare, and issue welcome packs to ensure a smooth start to every project.
*
Collaboration with Stakeholders: Liaise with architects, structural engineers, and party wall surveyors to ensure timely coordination for project success.

Building Control Submissions: Submit applications, plans, and structural calculations to Building Control, ensuring all documentation is accurate and compliant.

Project Coordination: Support the Project Manager by managing their diary, scheduling pre-start meetings, and ensuring project timelines are updated on the whiteboard.

Team Communication: Maintain regular communication with the Sales Director, Project Manager, and site foreman, fostering collaboration across departments.

Document Organisation: Set up and maintain folders for all project-related documents prior to project commencement, ensuring easy access and organisation.

Project Scheduling: Update the Project Scheduler regularly, ensuring that timelines and resources are accurately reflected.

General Administration: Provide general administrative support to the team and assist with other ad-hoc tasks as requested by the Managing Director.
Requirements:
* Proven experience in administration or a similar administrative role.
* Strong communication skills, with the ability to interact effectively at all levels within the business.
* Highly organised with excellent time-management skills.
* Ability to prioritise tasks effectively, work under pressure, and meet deadlines.
* Proficiency in Microsoft Office Suite, Gmail, Google Documents, and Google Drive.
* Reliable, enthusiastic, and conscientious with a proactive attitude.
* Flexibility and adaptability, with the ability to handle urgent requests as they arise.
