Sue Ross Recruitment are working with a leading media management company in the recruitment of a Project Administrator. Working with the Project Management team, you will act as project administrator for a portfolio of allocated clients. Creating workbooks and quotations from information provided by clients/contractors, in an accurate and timely manner. Upon receipt of an order overseeing delivery of the project, from start to finish, in conjunction with the operations team, to the client’s timelines, within budget and company margins. a team player you work as part of a team of an energetic and diverse team to deliver projects within budgets and time frames. Key Duties: Reviewing of plans received from clients or via client appointed contractors, marking up plans to reflect the client specification requirements. (Training will be provided.) Generation of workbooks detailing all equipment and costs of same ensuring adherence to agreed parameters/pre-set contracted prices for certain clients. Issuing of quotations to clients, where applicable. Setting key tasks/dates in the bespoke project management system and monitoring to ensure delivery of project as per client requirements. Adherence to the company ISO procedures Where key dates are known monitoring and chasing orders based on timelines. Updating workbooks as and when required due to change of product, revised plans or information provided by engineers having attended site and notifying the relevant teams of the revised requirements to enable the system to be updated to reflect any amendments. Ensuring key dates are kept under review and if dates change as notified by the client/contractors etc, that the system is updated to reflect this. Liaising with clients and other stakeholders to clarify requirements/update them re progress or of issues identified following site attendance including any requests for uplifts on works already quoted. Issuing of OEM documentation as requested by clients from time to time. Any other duties requested by you line manager Production and generation of all appropriate documentation associated with the projects, including H&S documentation. Providing a high standard of client service and management of all allocated client projects. Person Specification Proven record of meeting deadlines. The ability to multi-task and deal with several projects at various stages at any one time. Calm under pressure and able to adapt to changing situations. Professional attitude and approach to work/tasks. Understanding of basic AutoCAD, Visio would be beneficial but not essential as full training will be given. Excellent team player, but also able to work on own as and when required. Understanding of basic Excel, Word, Adobe. Knowledge or experience of production of relevant H&S documentation Ability to problem solve. Positive and pro-active approach. Flexible approach to work and not phased by changes.
