Role Overview:
Responsible for general administrative support of the statutory inspection department. Assisting department manager in planning, mobilising execution, and demobilising of statutory inspection work scopes. Maintaining technician’s competence in line with industry, client, project, and company requirements. Aiding in the design and implementation of quality control systems around project reporting working with internal software.
The role requires the coordinator to assist in the implementation of department and project Quality/HSE policies whereby weekly/monthly reports will be produced using tools such as MS office. Aiding in the production of departmental procedures and documentation in line with the company document control system.
Possibility that some offshore working may be required to help with personal/project/department development.
Responsibilities:
Travel
* Booking travel and accommodation for statutory inspection projects.
* Booking of international travel for ensuring all required documentation is in place prior to mobilisation.
* Ensuring all travel for project shift changes are booked in good time with information shared with interested parties prior to any travel activity.
Administration
* Managing current contractors and employee technicians with support from department manager.
* Updating and filing of employee CVs to be used in monitoring employee competence.
* Arranging and distribution of company I.T.
* Raising purchase orders for suppliers.
* General purchasing.
* Creation of PDF documents and Inspection/maintenance checklists.
* Management of project files.
Quality Control
* Daily checking of project reports to ensure the correct certification has been created and reports completed correctly.
* Logging of all process nonconformities in internal software.
* Annual document reviews.
* Collating of project KPIs.
* Take an active role in the continual improvement of SMC quality system and standards.
* Creation of Standard Operating Procedures (SOPs) covering the tasks of this role where required.

* Keeping up to date with any new or amended processes, procedures and regulatory changes that impact the role and learn information about new products, always following instructions from the Company.
* Ensure all internal communications are read, understood, adhered to, and acknowledged. Clarity must be sought where needed to aid understanding, and all instructions contained therein must be always followed.
* Attend meetings as directed by your manager including one to ones, performance reviews and training/coaching etc.
* Responsible for security of client and company data as provided and used in the role.
* Responsible for security of company property as provided and used in the role.
* Support department initiatives to help achieve departmental annual targets and objectives.
Required Skills & Qualifications
* Proficient with MS Office & IT systems.
* Ability to prioritise and organise tasks.
* Strong Communication Skills.
* Full UK clean driving licence.
