About the Role:
In a support and care environment, having individuals dedicated to the administration of business information and systems is imperative to maintain the integrity of the data held relating to colleagues and people supported to ensure care delivery is compliant and seamless.
The Central Admin Team will be responsible for managing some of the business data within National Care Group’s electronic systems and will provide a link between National Care Group Support Functions and Services within Regions.
What You’ll Do:
* Ensure the following Staffplan workflows and the transfer of data is managed appropriately;
* Be responsible for the system administration within the new starter process to include uploading of the colleague starter pack prior to the first shift.
* Be responsible for the system administration in relation to onboarding new people supported by creating a StaffPlan record and completing all the required fields to enable rostering, invoicing and pay.
* Be responsible for the system administration within the fee uplift workflow to ensure new contract documentation, individual support contracts and uplift letters are uploaded into StaffPlan and that these match the system rates.
* Ensure DBS renewals are checked, and new documentation is applied for and data is added to the system with review dates included.
* Ensure driving licence checks are made within the system through regular reporting and new documentation and data is added to the system with review dates included.
* Ensure compliance checks for colleagues are in date and evidenced on the system and run regular reports to inform line managers within the regions or any areas of concern.
* Upload colleague DARE Supervision and Appraisal documents with review dates. Run regular reports to ensure compliance and work with local managers to highlight areas of non-compliance and escalate accordingly.
* Ensure the workflow for changes to colleague contract and colleague details is followed with the creation of new contract documents and ensuring that these are saved on the system record.
* Ensure the administration relating to the colleague business transfer process is completed and documents are stored on the system.
* Complete the administration behind colleague flexible working requests, secondments and acting up agreements on instruction from local management.
* Manage documentation to support any out of cycle pay reviews further to instruction from local management.
* Ensure the colleague leaver process is followed and systems are updated accordingly.
* Ensure that changes in provision or need are updated on the system to allow for accurate invoicing and rota planning.
* Conduct regular colleague file audits to ensure Right To Work documentation is in place, signed contract documentation and all other compliance documents are held in the colleague record.
* Run regular reporting schedules to check and monitor compliance in relation to system data and work with local managers to notify them of non-compliance and escalate any issues if compliance is not improving.
* Manage central call handling for NCG and divert calls to relevant departments when required.
* Attend meetings centrally and locally (via Teams) as note taker as and when required e.g. disciplinary hearings, grievance hearings.
* Undertake group communications for changes to workflows, processes and policy where necessary.
* Undertake data reviews and projects as required by senior managers.
* Complete the archiving of paper records to ensure safe storage and destruction as per the retention of record policy.
* Transfer electronic documentation from current databases to electronic recording systems.
* Occasional visits or working remotely at services to support on ad-hoc projects or note taking in meetings.
