Our mission is to be inforced in every MSP About the Role We are seeking a highly organised and proactive Office Manager to join our team in the Richmond office. The ideal candidate will have previous experience managing office and administrative tasks for a fast-paced or start-up organisation. You’ll be responsible for supporting the smooth operation of the office, as well as assisting senior management with scheduling, event coordination, and administrative tasks. You will be the go-to person for all office related matters. What you’ll be doing Ensuring that office procedures are efficient and aligned with company policies, including scheduling and maintaining office calendars. Handling incoming and outgoing deliveries, emails, and phone calls. Acting as a liaison between staff, management, and clients. Organising and maintaining files, records, and documents, both digital and physical, to ensure information is easily accessible. Monitoring and ordering office supplies such as stationery, equipment, and furniture to ensure the office is well-stocked. Managing relationships with service providers (cleaning, IT, maintenance) and negotiating contracts with vendors. Supervising cleaning services and maintaining a tidy and organized workspace. Handle office budgets, including tracking expenses for office activities, supplies, and events, while maintaining cost efficiency. Support onboarding of new employees, including setting up workstations, helping with IT equipment, and ensuring a smooth integration into the office environment. Planning team-building activities, social events, and other activities that promote a positive work environment. Overseeing the maintenance of office equipment such as printers, AV and VC, and coordinating with IT support as needed Ensuring that the office complies with health & safety regulations, including conducting regular safety drills and maintaining a safe work environment. Overseeing the allocation of desk space, conference rooms, and managing any changes in office layout. Coordinating repairs and maintenance work to ensure the office space remains functional. Facilitating communication between different departments and keeping staff informed of office changes, updates, and events. Managing front-desk duties, including welcoming visitors, answering enquiries, and providing general assistance. Leading or assisting in office-wide projects, such as office renovations or implementing new software. Organizing company meetings, conferences, and client meetings, ensuring all logistics are managed effectively. Assisting senior management with scheduling meetings, preparing reports, and making travel arrangements. Preparing and presenting regular reports on office expenses, space utilization, and other key metrics for management. Resolving day-to-day issues that arise in the office, such as resolving disputes or addressing employee concerns.
