Job Description:
As a vital member of the Place & Environment team, we are looking for a proactive System Coordinator to support our maintenance and repairs programme. This role requires strong organisational skills to oversee and manage both internal and external contractors, ensuring a smooth and efficient process for the maintenance and repair works across Herts, Beds and Bucks.
You will work collaboratively with various teams internally and external contractors, to ensure that daily priorities are met to the highest standard. You will drive the successful scheduling of reactive and planned maintenance works, ensuring timely completion of all tasks in line with One YMCA’s standards.
Key Responsibilities:
1. Support the coordination of maintenance and repairs works, ensuring the efficient use of a bespoke ticketing system, REBIM, to manage internal and external contractors.
2. Provide role-specific delegation of raised defects, ensuring that each task is assigned appropriately and completed in a timely manner.
3. Collaborate effectively with the Reactive Repairs Manager, Housing Managers, and external contractors to meet daily structured priorities.
4. Oversee the complex scheduling of both reactive and planned maintenance works, ensuring all tasks are completed safely and within set timelines.
5. Ensure a high standard of customer service by maintaining effective communication and coordination across all parties involved.
6. Utilise bespoke digital systems to streamline processes and generate robust reporting.
7. Maintain a customer-first attitude, leading by example to ensure work is completed in line with One YMCA’s standards.
8. Take ownership and leadership of your area, working independently when necessary and providing professional advice as a subject matter expert.
Skills and Experience:
1. Proven experience in coordinating maintenance and repairs.
2. Strong organisational skills, with the ability to manage a high volume of work in a fast-paced environment.
3. Experience in using ticketing systems or similar tools, to manage and track repair works.
4. Excellent spoken and written English to ensure clear communication with internal teams, contractors, and customers.
5. Strong attention to detail and the ability to ensure robust and timely maintenance across a large geographical area.
6. A positive, can-do attitude with a focus on customer satisfaction and high-quality delivery.
