Reporting to our Branch Manager and working closely with the Maintenance Manager, you’ll be a proactive and organised team member who supports the daily operations of the business.
Job Summary
We are seeking a dedicated and detail-oriented Property Administrator to join our team. The successful candidate will play a crucial role in the management and administration of our property portfolio. This position involves overseeing day-to-day operations, ensuring efficient communication with tenants, and maintaining accurate records.
The ideal candidate will possess strong administrative skills and a proactive approach to upselling our services.
Duties
* Manage tenant communications, addressing inquiries and concerns promptly and professionally.
* Perform data entry tasks to maintain accurate records of tenant information and property details.
* Utilise CRM software for property management functions, including lease administration and financial reporting.
* Assist in upselling property services to enhance tenant satisfaction and retention.
* Coordinate maintenance requests and liaise with service providers to ensure timely resolution of issues.
* Maintain an organised office environment, ensuring all documentation is up to date and accessible.
* Implement office procedures that enhance operational efficiency and improve overall service delivery.
* Processing invoices and payments to contractors.
* Processing utilities and council tax payments.
* Liaising with other colleagues and departments within the company.
* Providing administrative support to the property manager when away from the office.
* Supporting tenancy arrears, payment plans and debt collections processes.
* Keeping records of time charges not included within the management agreement.
* Administration of minor works processes with record keeping, instructing contractors, progress chasing, diary keeping, correspondence, processing invoices, filing.
* Sorting and distributing post.
* Maintenance - tasks to include supporting the Maintenance Manager with updating reports and liaising with customers.
Skills
* Proficient in administrative tasks with excellent organisational abilities.
* Strong data entry skills with attention to detail to ensure accuracy in all records.
* Exceptional phone etiquette for effective communication with tenants and service providers.
* Familiarity with property management software is advantageous.
* Ability to upsell services effectively while maintaining a focus on customer satisfaction.
* Strong interpersonal skills, enabling effective collaboration within a team environment.
