Job overview
An exciting opportunity has arisen to work in Gynaecology, one of the busiest departments in the Trust. The successful candidate will need to be well organised, quick to learn new systems and flexible in their approach.
You will be working alongside 30+ other administrative staff in the department, taking responsibility for your own workload of patients being seen by the multidisciplinary team of medics, nurses and allied health professionals.
Main duties of the job
1. Provide cross cover across the Gynaecology Administrative team as directed by the Team leader on a day-to-day basis according to service need.
2. Administer all new referrals received via the E-referral service, ensuring all are electronically triaged by the appropriate clinical staff member and actioned as required.
3. Process and log all non-Choose and Book referrals on EPR, including registering new patients and updating existing patient details.
4. Book new and follow-up outpatient and diagnostic appointments, ensuring that capacity is proactively and efficiently used.
5. Reschedule outpatient appointments as a result of patient cancellations in line with the 18-week RTT/cancer/screening targets.
6. Manage the OP PTL and Incomplete lists.
7. Provide primary administrative support to the consultants and clinicians.
8. Ensure accurate filing of paper notes and records is maintained as required.
9. Act as the first point of contact for patients coming into the department.
10. Ensure adequate cover on the reception desks and ward as required.
11. Book interpreters and transport for patients as needed.
Person specification
Qualifications
* GCSE or equivalent in English and Maths, grades A-C
* NVQ or Apprenticeship in Customer Care or Business Administration
Experience
* Previous experience within the NHS/public sector
* Good knowledge of patient pathways
* EPR Experience
* Understanding of the Trust’s Elective Access Policy / Cancer waiting targets
* Experience of effective waiting list management
