As the Executive Assistant to the Head of International Business, you will ensure the efficient operation of the office, providing high-level administrative and organisational support.
Key Responsibilities:
* Facilitate seamless communication between the Head of International Business and various business units.
* Manage complex calendars, including scheduling regional/global Microsoft Teams and WebEx meetings across multiple time zones to support prioritisation and team engagement.
* Organise monthly governance and quarterly regional/global leadership meetings to foster collaboration across teams.
* Plan and coordinate All Hands meetings, including agenda preparation, slide deck support, logistical arrangements (conference rooms, remote access, catering), and clear communication to stakeholders.
* Coordinate and prioritise meetings, publish agendas, attend meetings, and document/distribute action items.
* Arrange global travel for team members, including schedules, visas, and accommodations, with proactive diary management to resolve conflicts.
* Manage multiple projects simultaneously, ensuring timely follow-through and providing administrative support for departmental initiatives.
* Handle email communications between management and employees.
* Collect, analyse, and compile data for teams, including financial reporting support, and create error-free presentations and reports.
* Process expense claims using the online expense system.
* Welcome and assist visitors on behalf of the Head of International Business.

* Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other productivity tools, with the ability to learn new systems.
* Highly organised, methodical, and proactive, with the ability to identify inefficiencies and improve processes.
* Strong written and verbal communication skills, with a professional telephone manner and the ability to manage upwards when needed.
* A team player with excellent prioritisation skills, capable of working autonomously and meeting deadlines.
* Approachable, trustworthy, and personable, with high integrity and discretion in handling confidential information.
* Resilient, adaptable, and resourceful in a fast-paced, ever-changing environment.

Qualifications
* Education : A Bachelor's degree in Business Administration or an equivalent qualification in a related field is preferred
Experience
* Minimum of 5-10 years of experience as an executive assistant or in a similar role.
