The Role: The role includes but is not limited to: Leading, coordinating and preparing the timely submission of tender responses to customers in response to their request(s) for quotations; Administrating supply chain relationships as required by tenders and other (general) requirements; Providing general commercial and tendering advice; Ensuring the Company successfully records and responds to customer enquiries (technical and commercial); Creating relationships with, obtaining ITTs from and managing key customers; Creating relationships with, obtaining proposals from and managing key suppliers, (including contractually) in the response to customer ITTs; Co-ordinating, assisting with and reporting on sales pipeline planning and forecasting; Working in accordance with defined Company QHS&E management systems and being aware of H&S responsibilities to own self and others; Leading the tendering effort on each assigned tender through to contract award, including setting up the relevant kick-off and strategy meetings, risk management meetings and price reviews in accordance with prescribed company procedures, processes, and work instructions; Translating customer and company requirements into clear and definitive tender strategy in accordance with defined scopes of work and proposed execution philosophies on each tender; Preparing the tender document and ensure that it is relevant, timely, accurate and addresses customer requirements, or has the appropriate exceptions; Ensuring identification and development of technical and/or commercial proposal alternatives that would enhance the Company’s competitive position; Ensuring timely, accurate and comprehensive communication with all stakeholders through agreed and/or appropriate means; Ensuring that all significant risks have been identified and mitigated; Co-ordinating responses to clarification activities; Identifying and implementing ways of improving the tendering process and quality of output; Maintaining front-line contact with the customer, ensuring positive engagement and building relationships; Collating and distributing client feedback and lessons learned information to improve tender success ratio; Handing over successful tenders to Project/Operational team in a comprehensive, timely and accurate manner; Performing business development activities as required from time to time, and as directed; and Co-ordinating, assisting with and reporting on sales pipeline planning and forecasting. The successful candidate will need: Qualifications Bachelor’s degree in engineering, business or related field, or relevant work-related experience. Skills & Knowledge Strong understanding of technical and commercial aspects of project proposals; Knowledge of legal and regulatory obligations as well as industry standards; Excellent written and verbal communication skills with the ability to communicate with people at all levels; Effective team player with the ability to liaise with other departments to attain information required – Finance, QHSE, Operations etc. Ability to plan and manage multiple proposals simultaneously; Adaptable with the ability to work under pressure and prioritise tasks; Detail orientated with strong analytical and problem-solving skills; and Computing skills, including MS Office suite of programs. Experience Proven experience in tendering and proposal management; Experience building and maintaining effective working relationships; Experience using HubSpot or similar CRM software; and Specific industry experience (desirable).
