As an IFR Support Officer, you will be responsible for providing operational support to the IFR Management Team and wider IFR Team to deliver a robust service, contributing to the development and implementation of effective systems and processes to support service delivery.
You will support the effective and timely delivery and administration of a robust integrated case management system for IFR and Prior Approval requests. Supporting the effective end to end process for individual cases as appropriate.
You will ensure processes are followed consistently and in line with agreed policies and procedures.
You will ensure the confidentiality and security of patient identifiable and sensitive data is maintained in accordance with the Data Protection Regulations.
You will support the mitigation of risks, including that of legal challenge, by ensuring that each funding request is accurately and timely recorded, tracked, monitored and considered; using relevant, up-to date and agreed clinical, commissioning and administrative policies and procedures; and in accordance with ICB contractual arrangements.

These will include but are not restricted to:
· Supporting the development and implementation of effective administration systems and processes to support robust service delivery.
· Participating in projects which enhance service provision.
· Conducting Prior Approval and Individual Funding Request (IFR) activity in accordance with relevant policies, procedures and regulations including contractual agreements.
· Commensurate with the Support Officer role, undertaking specific tasks to enable the appropriate assessment of requests received against ICB clinical policies.
· Providing a full range of business support services for the wider team, including (but not limited to) managing diaries, taking minutes, arranging meetings, preparing panel documentation for full panels and IFR appeals panels. This will include the preparation and distribution of supporting documents, case files, evidence reviews and clinical reports.
· Supporting the arrangements for Prior Approval and IFR related meetings and panels, including the preparation and timely dissemination of routine correspondence, documentation and paperwork.
· Attending and supporting the efficacy of meetings as required, for the purpose of taking and accurately transcribing notes/minutes of discussions, decisions and actions. Arranging approval and dissemination of documentation as relevant.
· Supporting processes for dealing with correspondence/enquiries to the team e.g. letters, queries, Freedom of Information (FOI) requests or complaints relating to funding requests along with the collation of responses; keeping accurate records.
· Supporting and overseeing the recording of all cases and supporting information to ensure the integrated Case Management system is accurate and updated in a timely manner.
· Supporting the preparation and upkeep of up to date work instructions and standard operating procedures for all related areas of work.
· Receiving telephone calls, emails, and verbal enquiries both internally and externally including from patients and taking appropriate action. All enquiries require confidentiality and sensitivity at all times.
· Ensuring that queries are dealt with promptly in the delivery of an effective service. Ensuring that if queries are not resolved, they are escalated to an appropriate member of the team.
· Providing advice and guidance regarding the IFR or Prior Approval processes and ICB Commissioning Policies as relevant and in line with Policy and Procedures.
· Supporting and undertake audits as and when required.
· Liaising with colleagues, ICB representatives, patients, clinicians and other professionals, internal and external to the CSU, as and when required, in line with Policies and Procedures to ensure effective and efficient administration of agreed processes.
