Order Administration Specialist, Supply Chain
Position Summary
The Lead Supply Chain Coordinator is responsible for order backlog management and internal customer communication. The order administration team is located in EMEA and NA and is focused on reducing customer wait time, order prioritization for critical issues, handling internal customer inquiries regarding supply chain, and communicating to the field.
Key Responsibilities
1. Function as coordination hub between the Supply Chain functions and internal customers, acting as an entry point for customer requests and prioritizing them to the right department within the supply chain organization. Track, follow up, and close on inquiries from internal customers in the supply chain email box. Update the customers on the status of their requests/orders.
2. Act in a global role within a follow-the-sun organization, dealing with cases from other geo-regions when needed.
3. Independently review backlog daily, correcting order problems, looking for alternative supply sites or engineer inventory.
4. Change order priorities in the system based on input from the field service teams.
5. Participate in weekly/monthly meetings with field service and/or tech support managers, providing updates on the current backlog situation and countermeasures.
6. Publish and communicate expected delivery dates for parts to the field service engineers.
7. Maintain metrics and actions to address Supply Chain-related complaints.
8. Handle and update complaints within the SAP CRM tool.
9. Ensure that escalated orders are prioritized appropriately and progress is reported to the involved collaborators.
10. Monitor dealer orders and reserve inventory as available and have it released when the order is complete.
11. Enter orders for internal offices not on SAP or where automated systems do not exist.
12. Proactively react to incoming information, taking action, reporting to partners, and seeking countermeasures.
13. Additional tasks as assigned.
Minimum Qualifications
1. A strong sense of customer service and ability to work with a broad range of customers and within the matrix structure of our organization.
2. Well organized and able to multitask across the full range of administration duties.
3. Foundational experience in order administration and/or logistics.
4. Proven PC skills and ability to effectively use Windows-based software.
5. Experienced with CRM and ERP tools such as SAP.
6. Strong communication skills, verbal and written in English. Any other language is a plus.
7. Strong social skills.
8. Ability to work under pressure.
