This team member serves as the agency’s key contact in the front office for callers and office guests while collaborating closely with all team members, donors, volunteers, and community members. This role helps meet the organization’s mission through daily administrative tasks, database entry/data management, program and event support, facilities/vendor support, and basic accounting functions.
The successful candidate must be an effective and positive communicator, have strong technical and organizational skills, able to manage concurrent projects with varied deadlines, and be open to creative solutions. This team member supports the agency’s outreach and fundraising events as well, and must be comfortable engaging with donors, volunteers, and community members.

Primary duties include:
* Serve as the agency’s primary and initial contact with telephone and office support for general & referral inquiries, community guests, donors, volunteers, visitors, and vendors. This person’s workspace is in the front lobby of our Salisbury, Maryland office.
* Team/Project/Administrative Support duties, including but not limited to:
o Office technology support, including managing online tools/meetings, on-site technology, and coordination of vendor support.
o Conference room scheduling, room preparations and care.
o Managing office volunteers and related projects.
o Pledge processing and maintaining confidential data in donor database.
o Support for Finance Manager related to daily processing & posting of receivables and payables, including utilizing database and QuickBooks.
o Processing daily mail and packages.
o Coordination/scheduling of board and committee meetings, with assistance in preparation & distribution of communications and support materials.
o Facilities and supplies management – maintaining safety protocols, organization of primary office and storage areas, facilitating supply/equipment orders, vendor/maintenance scheduling, and maintaining general office inventory.
o Coordination of direct mail processes in donor database and Excel such as managing mail lists, producing letters, and facilitating with team and print/mail vendor.
o Maintain database and reports for agency’s direct program(s) as needed.
o Event administrative, logistics, and outreach support as needed to ensure positive guest experiences.
* Administrative support as needed for Leadership, Development, and Impact team members.
* Additional duties as assigned based on interests, talents, and ability.
* Occasional evening or weekend hours will be required to support the agency’s outreach and fundraising needs.
Minimum Qualifications include:

* Able to work both independently and with teams of staff and volunteers.
* Advanced computer skills required: high proficiency with all Microsoft Office products (Excel, Outlook, Word, SharePoint, etc.); ability to master databases; Experience with QuickBooks preferred.
* Ability to quickly learn and excel in new programs, database platforms and processes.
* Strong organizational skills.
* Adaptable and flexible to dynamic work environment, with strong multi-tasking and prioritizing skills.
* 3 to 5 years of administrative support or relevant experience.
* High school diploma/GED or its equivalent; Associate degree preferred.
* Physical needs of position may include extended periods of sitting or standing and lifting items up to thirty (30) pounds.
* Use of own vehicle in performance of some duties will be needed. Standard mileage reimbursement is provided (excluding daily commute).
This is a full-time, salaried exempt position. Minimum salary is $44,000 and maximum salary is $46,000. Standard office and work hours are 8:30 am – 5:00 pm, Monday-Friday.Options for a four-day work week with a modified daily schedule are available with leadership approval. Occasional evening or weekend hours will be required to support the agency’s outreach and fundraising needs.
