What's involved with this role: Temporary PT Generic Administration Assistant – Resources Reference no: Teignbridge 5258570 Hours per week: 18.5 Monday, Tuesday and Friday Role Length: This opening assignment is for 6 months City: Newton Abbot, Devon The administration assistant will be responsible for undertaking day to day administration functions in relation the administration of their assigned department. The successful candidate will work within the Environmental Health Department to triage a wide range of service requests from members of the public and business community, providing guidance and advice, validating applications, taking decisions as appropriate and updating case records. Key Responsibilities: Undertake assigned administrative work and activities through to completion, dealing with problems that arise and changes to requirements or timings, meeting set deadlines. Act as the first point of contact for the department, providing advice and guidance to a developed level, appropriately dealing with callers in person, by telephone and email and ensuring high levels of customer relations. The post holder will answer queries in line with policy or guidelines and direct more complex matters to the appropriate avenues as required. Deal with enquiries from members of the public by telephone, e-mail and face to face. To respond with courtesy, understanding and sensitivity to a wide range of queries received across all channels. Undertake office-based administration including receiving and despatching post, photocopying, scanning, filing and indexing. Ensure the Council’s policies and procedures are adhered to in terms of internal and external correspondence. Undertake IT related functions to update and maintain customer records across a range of services using a number of different systems, processing different applications received by each of the different departments. Action and ensure the Council policies and procedures are followed relating to complaints received by the department manager. Operate contact centre technologies and other systems across each department to ensure customer enquiries are handled effectively, are properly recorded and monitored in line with agreed business processes, data management and quality standards. Complete work to the required quality standards and within the designated timescale. Any other general administrative and clerical duties in line with the grade, as required. Qualifications: Minimum GCSE level English and Maths or equivalent through relevant experience/training. NVQ in Advice and Guidance level 2 or relative qualification to post. Skills & Experience: Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation. Experience of providing administrative support to a team/company. Demonstrable experience of a customer focused approach to business administration. High standard of written and oral communication. Understanding of data protection principles. Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
