Job Purpose Statement
Working with the HR Lead to devise and implement Company policies and procedures in line with Business requirements and relevant legislation. Working with and advising managers to ensure full compliance across Belfast and Antrim sites. Working with line managers to select, develop and retain the right staff to meet the Company’s requirements. Provide a proactive, timely, accurate and value adding service.
Main Responsibilities
Resourcing and Induction
* Identify current and future resourcing requirements in conjunction with the HR Lead and Management Team.
* Oversee the employee induction process and manage all new inductions, ensuring all processes are tightly followed to ensure seamless integration into the business.
* Ensure that probation review meetings are undertaken, addressing any issues and feeding back to the HR Manager.
* Pro-actively work in partnership with Managers to identify training needs, complete training needs analysis and career development plans for colleagues.
* Support Managers and the HR Lead in the consideration of the talent pipeline and succession planning.
Compensation and Remuneration
* Co-Ordinate the annual merit / salary review process and implementation of HR associated processes and documentation.
Employee Development
* Provide advice and guidance to Managers on managing performance and where appropriate attend performance management meetings and ensure follow-up.
* Work closely with Managers to facilitate and monitor the annual performance review process and provide advice and guidance where necessary to Managers.
Employee Relations
* Manage and oversee maternity and paternity processes and where necessary; provide advice and guidance to Managers and colleagues in line with statutory legislation and company policy.
* Manage all flexible working requests in line with the company’s policy, liaise with Managers and consider the business needs.
* Provide advice and guidance on employee relations issues e.g. disciplinary/grievance matters and performance issues. Where necessary, investigate matters and attend/conduct meetings in conjunction with Managers.
* Monitor and manage all sickness absence and attendance. When necessary discuss absence with Managers and ensure follow-up with individuals. Work with occupational health where appropriate and make referrals as required.
* Deal with general Manager and colleague queries and provide advice and information as required.
Leavers
* Oversee the leaver process on site, including conducting exit interviews ensuring relevant information is communicated and fed back to manager appropriately.
* Conduct exit interview analysis identify trends and make recommendations to HR Lead.
Reporting/Budgets
* Report on HR key performance indicators analyse data and provide recommendations to the business.
* Understand the Company and Departments and the challenges they face and feed key trends and information and recommendations to the HR Lead.
* Input into the budget process providing input on headcount assumptions and attending meetings where appropriate.
HR Projects
* Act as key stakeholder when implementing and reviewing HR policies.
* Undertake HR and Company projects both locally and globally.
Confidentiality
* Ensure all HR records are securely stored and accessible only to those authorised to view such content.
* Ensure all confidential information stored electronically are secured stores and accessible only to those authorised to view such content.
General
* Actively participate in strategic HR initiatives and department activities/projects as appropriate, both taking a lead role and acting as part of the HR Team.
* Keep up to date with external developments which may impact strategy e.g. employment law and where necessary undertake research.
* Develop/maintain a detailed knowledge of HR issues through appropriate reading, seminars, networking events and practical experience.
* Take responsibility for delivering a high-quality professional HR service to both Managers and colleagues, acting as an ambassador for the HR profession.
* Effectively delivering the recruitment of staff up to management level across both sites. Acting as liaison with external agencies and bodies; ensuring internal compliance, performance and cost criteria are met. Providing relevant employment documentation as required and ensuring inductions are managed and completed in line with Company procedure. Screen candidates assist with shortlisting, draft interview questions, collating and checking all interview panel completed documentation and taking corrective action. Participation on interview panels. Participate in the induction and onboarding process which includes delivery of longer HR induction presentation.
* Undertake the role of Company ‘Monitoring Officer’ ensuring statutory reporting within specified timeframes and effective maintenance of monitoring documentation in accordance with statutory guidance. Complete Annual Monitoring Report and prepare Article 55 review.
* Supporting and directing Managers (on HR process) in the delivery of Performance Management and Capability procedures. Advising on legislation, policy, risk and best practice.
* Supporting and directing Managers (on HR process) in the delivery of Disciplinary, Grievance and Attendance Management processes, advising and acting as liaison with Occupational Health service providers. Notetaking at HR meetings producing accurate, timely notes and preparation of all associated documentation in relation to cases. Collating documentation and maintenance of files. Organising and conducting case meetings with Managers/Officers to discuss case history, reviewing documentation on file and briefing on HR process to ensure that roles at the meeting are understood. Responsible for ensuring that all steps to close out actions are taken in a timely manner.
* Effective absence management including timely and accurate updating of absence tracker, actioning sick absence (including making Occupational Health referrals and completing return to work meetings and completing documentation) and lateness triggers on an ongoing weekly basis including progression of cases to appropriate level in conjunction with Manager (disciplinary/absence management processes).
* Promote a positive, proactive approach to the Company, acting as an Advocate for an open, fair and transparent employment relations environment and equality of opportunity, working in partnership with Trade Union Representatives and Managers to achieve this aim.
* Support and contribute to the development, implementation and review of employment policies, incorporating changes in legislation, business need and best practice within the Employee Handbook.
* Support the HR Lead on building, delivering and sustaining a programme of employee engagement and wellbeing activity.
* Manage probation review process, leaver process, family leave and flexible working process.
* Effective delivery and maintenance of Key HR Metrics – including; attendance, lateness, recruitment, headcount, retention, skills management and talent development. Providing meaningful information including reports and statistical information to stakeholders and resolve questions arising.
* Analyse information and make recommendations regarding individual and organisational situations.
* Act as a first point of contact; providing a positive first response and friendly and welcoming service for internal and external stakeholders for HR related queries. Ensuring that all requests are dealt with efficiently, escalating queries/issues to line manager/other staff as appropriate.
* Development of effective training materials associated with local policies or initiatives as and when directed. Competent delivery of Training materials to Managers and staff and requisite coaching, where appropriate.
* Development and improvement of Company HR administration processes and preparation and updating of HR department related SOPs.
* Ensure that all key personal data associated with employees is accurate, secure and integrated with other local processes such as Payroll. Ensure all HR, personnel and training records are effectively and efficiently maintained to audit ready standards.
* Support management in dealing with employment matters on a day to day basis.
* Update and maintain the Company’s HRIS (Workday).
* Carry out general administration and filing within the department including note taking, typing minutes and general department correspondence. Maintain and update HR Trackers.
* Responsible for the leaver process including: Leaver correspondence, calculating outstanding holidays, Completing the leaver form for payroll.
* Prepare a range of HR reports on a weekly, monthly basis and as required (such as headcount, absence, timekeeping, disciplinary & grievance, WTR).
* Monitor compliance with Working Time Regulations and customer maximum hour requirements – issuing timely Manager alerts, recording actions and explanations.
* Undertake and support Special Projects as directed.
* Collation and co-ordination of insurance claim documentation.
* Complete security company documentation and compliance audits.
* Archiving HR documentation in conjunction with Company retention policy, including recruitment documentation.
* Compliance with Data Protection protocols and ensure security and confidentiality within the HR Department.
* Effective daily, weekly, monthly scheduling of routine work tasks to ensure deadlines are achieved and timely actions taken.
* Conduct at least weekly production floor visits.
* Complete work in a timely, accurate and scheduled manner to ensure the provision of an efficient, effective and value adding service.
* Effective teamwork and communication to ensure delivery of excellent Department service.
* Undertake Continuing Professional Development and keep abreast of developments and best practice in HR and employment law.
* Support the HR Lead in all aspects of Human Resources as directed.
* Deputising for Human Resources Manager where required; supporting local and Group initiatives.
