Title: HR Shared Services Coordinator Company: Ipsen Biopharm Ltd Job Description: Do you enjoy the challenges of working in a fast-paced service focused environment? If so, we have an exciting opportunity for a HR Shared Services Coordinator to join our HR Shared Services team based in Wrexham, North Wales. This position is offered on a permanent basis and will report into the HR Operations Manager. Working in collaboration with wider HR Shared Services team and internal stakeholders, you will be accountable for the coordination and Tier 1 delivery of HR Shared Service activities across UK&I and numerous international locations. Integral to HR Shared Services’ transformation journey, you will operate with a continuous improvement mindset, challenging the status quo and providing proactive ideas and recommendations to further improve HRSS’ service offering to the HRSS Managers and HR Shared Services Head. Additionally, you will also provide advice and guidance on 1st Line queries, escalating more complex cases when necessary. Main responsibilities / job expectations Service Delivery: Triage all incoming HR Shared Service activity across the team, whether this be via HRSS’ core system (AskHR), incoming emails or postal correspondence, ensuring activity not received via AskHR is logged and triaged accordingly within the system. Complete all incoming ‘none core process’ requests (e.g., change in personal circumstances) and reoccurring requests, escalating as required. Strive to deliver HR Shared Service KPIs, managing own daily workload effectively and supporting team members as required, across the different tiers within HRSS (e.g., annual leave). Operating with a continuous improvement mindset, actively consider incoming request activity, feeding back any trends and recommendations to improve services to the customer. Governance & Compliance: Ensure requests are submitted in the correct manner, signposting customers as required whilst also considering the customer experience. Actively coach and guide stakeholders with confidence in relation to HRSS ‘Tier 1’ topics. Ensure own knowledge and understanding of activities and tasks within own job role, seeking training and clarity if needed. Flag to HRSS Managers when awareness arises surrounding policy and legislation changes so that this can be actively managed, embedded and communicated as needed. Support Payroll Operations Specialist with the generation of internal HRSS reports, specifically when linked to AskHR and HRSS KPIs. Customer Service: Operate with a customer centric mindset, actively engaging where appropriate using various methods of communication. Provide advice and guidance on HR ‘Tier 1’ related matters to employees, escalating complex cases as required. Design knowledge articles and training materials which signpost employees & the business on HRSS ‘Tier 1’ related topics. Additional duties: Manage stationary orders Raise purchase orders Sending and collection of post Support key process implementation & improvement projects linked to HRSS operational delivery In return, you will bring: Minimal: GCSE (or equivalent) in Maths & English Background in HR Shared Services within a multifaceted organisation. Experience collaborating with both internal and external stakeholders in-person and virtually Proficient in MS Excel and other Microsoft Office applications. Experience with AskHR, Workday, iTrent, or Empactis is preferred.
