We are looking for a professional Front of House Manager who is naturally personable to join our vibrant UK team. You will be the first contact for all visitors, clients, and employees. You will combine front-of-house coordination with essential office administration, facilities support, supplier management, and technology oversight to create a welcoming, efficient, and dynamic workplace. You will report into the Group Office Manager What will you do … Front of House Coordination Deliver a professional, warm, and seamless front-of-house experience to all visitors, clients, new starters, and employees, embodying the Inizio Engage XD brand and culture. Manage the reception area, ensuring it is always welcoming, organised, and reflective of Inizio Engage XD's. Support and coordinate client meetings, ensuring spaces are prepared, hospitality is arranged, and facilities are operating smoothly. Be the first contact for all incoming queries Create a Welcoming Experience Foster an inclusive and positive atmosphere within the office, shaping a unique and engaging workplace culture. Facilitate the onboarding experience for new employees, ensuring a seamless and welcoming introduction to the office environment. Lead/assist organising in-house events, celebrations, and social activities to enhance employee engagement and collaboration. Facilitate and support internal initiatives, ensuring a smooth implementation and engagement. Organisational Administration Provide administrative support for daily office operations, including scheduling, managing office supplies, and coordinating catering and deliveries. Oversee and maintain the office social calendar, collaborating with internal working groups to plan and implement internal events. Manage incoming and outgoing mail, deliveries, shipping requirements, and office communications. Facilities Support & Management Conduct daily office assessments to ensure the environment is safe, organised, and free from hazards. Coordinate building access and security requirements for employees and visitors. Support office safety protocols by being a first aid responder and fire warden. Assist the Group Office Manager with facilities administration, including managing maintenance requests and working with landlords. Equipment and Technology Oversight Inspect all office equipment and technology (e.g., meeting room systems, printers, phones) to ensure functionality. Identify and report defective office equipment/technology issues to relevant teams/service providers and work with then to resolve the issue. Coordinate repairs, replacements, or upgrades in partnership with the IT and facilities teams, minimising disruption to office operations. Facilitate internal processes related to the provision of user equipment and technology, including managing the Working from Home Request process. Supplier Management Develop relationships with office suppliers and service providers, ensuring procurement of supplies and seamless service delivery. Coordinate with external vendors for office catering, equipment maintenance, and other operational needs. Support the review and optimisation of supplier contracts to ensure value for money and quality service. What do you need to have … Experience in office administration, front-of-house coordination, or a similar role in administrative, office management, hospitality, or facilities coordination. Familiarity with office equipment and technology troubleshooting, and knowledge of health and safety regulations (first aid/fire warden certification beneficial). Experience using digital communication platforms. Experience engaging with senior level executives. Positive, friendly nature contributing to a welcoming and inclusive workplace culture.
