JOB TITLE: GP Practice Operations Administrator
REPORTS TO: PRACTICE OPERATIONS MANAGER
HOURS: 25 hours per week (Mon – Fri) 8.00am – 4.00pm working hours
Main function of the job:
* Working with the Management Team to ensure Ringmead Medical Group meets the desired aims and standards to provide excellent patient services and clinical care.
* This will include assisting the Practice Operations Manager with the day-to-day operational running of a busy 5 site GP practice to include organising meetings, reviewing data and trends, project management and administrative work to support the Management team.
* Communication with patients, staff and contractors is a key part of the role and will include assisting with practice social media, newsletters, website, patient feedback and promoting other health initiatives.
* Ensuring a clean, safe and welcoming environment for patients and staff is essential. Part of the job role will include dealing with contractors, organising premises work, meeting health & safety, workplace regulations and compliance, in particular, meeting CQC standards.
* The Practice Operations Administrator will need to possess good interpersonal, organisational and communication skills especially when dealing with staff, external contractors and most importantly patients.
Job Responsibilities:
* Working with the Practice Operations Manager to ensure the practice meets all regulatory requirements such as Health & Safety, Fire Safety, and CQC requirements.
* Working with the Practice Operations Manager to ensure management of the practice premises, building maintenance or emergency repairs, including health & safety, fire regulations and electrical testing, external contractors, staff and patient environment and areas meet the desired standards of CQC and the practice.
* Support the Management team to ensure that the programme of works is delivered and recorded e.g. routine maintenance, electrical and gas servicing, decoration including liaising, obtaining quotes, and booking premises contractors and service providers.
* Working with the Practice Operations Manager to ensure robust processes are in place for the reporting and management of significant events or incidents and supporting the practice team with patient feedback and the complaints process.
* Undertaking a variety of administrative duties to assist in the smooth running of the practice including meetings management, reviewing telephone and appointment data, ability to meet deadlines and assisting the Practice Operations Manager with day-to-day operational work.
* Assisting with staff and patient communications including practice social media, creating newsletters, editing the practice website, reviewing, and understanding patient feedback and promoting other health initiatives.
* Conducting audits on a regular basis to ensure implementation of policies, practices, procedures and making recommendations for continuous quality improvement.
* Working with the Practice Operations Manager to ensure all risk assessments are conducted on a regular basis, with action plans for improvement.
* To maintain skills at the current level and undertake such training and development as may from time-to-time be required to maintain personal competency.
* To ensure the provision of high-quality patient services within a safe, efficient working environment by providing support to the Practice Management Team and staff.

Pay: £12.87 per hour
