Accounts Payables Supervisor (6-Month FTC)
The Role
We are seeking an experienced and detail-oriented Accounts Payable Supervisor to oversee our accounts payable department.
The ideal candidate will be responsible for managing the firm's financial obligations, ensuring timely and accurate processing of invoices, and maintaining strong relationships with vendors and internal stakeholders.
This role requires a strong understanding of accounting principles, excellent organizational skills, and the ability to lead a team effectively.
Key Responsibilities
1. Supervising and coordinating all work coming through the Southern AP function.
2. Liaising with the Supervisor in the Northern AP function.
3. Coordinating the training of new staff and supporting current staff with any new procedure changes and job role changes.
4. Responsible for staff recruitment.
5. Taking a proactive approach to identify areas for process improvement and supporting the Finance Operations Manager / Controller with necessary changes.
6. Ensuring process changes are clearly documented for future reference by the team and new joiners.
7. Assisting with the development and implementation of financial policies, ensuring they remain current and relevant.
8. Reporting to the line manager any employee concerns that should be raised.
9. Contributing to the development of a risk management strategy.
10. Collaborating with other departments to resolve discrepancies and ensure smooth financial operations.
11. Assisting with month-end and year-end closing processes, including reconciliations and audits.
12. Supporting the AP Clerk roles when required.
13. Checking and posting expenses and raising any issues with another Supervisor or Finance Operations Manager/Controller.
14. Processing daily and weekly payments through our database and uploading them onto appropriate platforms.
15. Posting exchange rate differences as required to ensure the entries can be reconciled.
16. Checking invoices uploaded and approved by fee earners on the Chrome River invoice approval system and preparing them for export onto our 3E database in readiness for billing to clients or in preparation for the weekly office runs.
17. Investigating queries received into our main inbox and distributing emails to the appropriate person within the team.
18. Looking into any returned monies and processing them in a timely manner for reconciliation.
19. Taking responsibility for completing or assisting with other ad-hoc queries or projects from the finance leadership team as may occur from time to time.
