EQUANS are recruiting for a Compliance Officer to be based in Manchester. This is a permanent full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package. General Overview The post holder is accountable for compliance delivery of the hard services contract and specifications for: Manchester City Council – Public Buildings Key Accountabilities Responsible for the day to day monitoring of performance & operational performance in line with contract requirements Support the Planning Manager by producing monthly deduction and service reports, daily updates and weekly dashboards & other reports as required. Preparation and completion of invoicing for all work streams Monitor contract performance daily to identify trends and prevent KPI failure. Feed into commercial report as required. Develop agree and review processes required to deliver the contract Ensure all supplier invoices are accurately and efficiently processed in accordance with relevant policies and procedures Monitoring contract performance (including SLA performance, chasing work down, processing KPI contract requirements – service request management) Identifying issues and pro-actively offering solutions to improve performance & include implementation. Raise purchase orders as required in line with policies and procedures. Attend Meetings, take transcribe and distribute meeting minutes in line with contract KPI’s. Liaise with management teams to resolve queries Ensure material purchasing is processed end to end in line with contract requirements to ensure accuracy and timely invoicing. Order stationary when required Ensure labor is effectively recorded within agreed timescales Monitor and track progress of potential overdue orders, closing down of orders, cyclical maintenance activities and monitor/track and report KPIs as required per contract. Producing contractual monthly reports and presenting within the agreed service meetings. Monitoring operational equipment its compliance & status reports – arranging calibration Ensuring 100% statutory compliance and ensuring a remedial programme is in place & monitored Carry out sub-contractor audits and awareness (MSV) Ensuring H&S compliance to legislative and EQUANS standards Financial performance of the contract in line with contract KPI requirements Identification of additional works Supporting the growth of the North-West Region through engagement and participation in tenders Supporting and developing the contract business plan with the Account Manager Seek customer feedback and identify opportunities to enhance satisfaction levels and organic growth opportunities Provide miscellaneous management reports for the Account Manager and SLT as required Support the contract through sponsoring and championing central projects, PIP implementation and identifying process enhancements Oversee the day to day orders, monitoring target dates, completions for invoice and KPIs. Monitor and arrange appointments and report back to the client as required. During periods of staff holidays you will be expected to provide cover for planning and commercial officers. You will also be responsible for the production and presentation of contract specific performance reports for both internal and external use monthly for all contracts. The post holder will be required to deal with various challenges, including but not limited to PPM, RW, Projects, Minor Works and Statutory compliance. The post holder will be required to deal with any issues that arise as works and resolve any associated budgetary or commercial challenges. Typically, the post holder will be required to work closely with the Operations Manager and where appropriate escalate any decisions requiring financial approval over their LOA (as per EQUANS DLAs), or where a commercial consideration is needed. The post holder will be required to understand both the contract and its associated specifications to ensure delivery to customer expectations. What can we offer you? Skills And Abilities Knowledge of the standard methods, practices, tools, and equipment for FRA works Hold or be working towards a Fire related qualification. Confident oral and written communication skills Communicate effectively with all those who have a stake in FRA work Knowledge of the occupational hazards and safety precautions for FRA and Electrical and associated building trades Excellent organisational skills Effectively manage time to meet deadlines. Professional attitude and approach to work Hold SMSTS certificate. Current and Valid UK driving license. Experience An understanding of maintenance practices such as SFG20 Full understanding of building compliance duties Experience managing complex contracts Ability to develop effective relations with key stakeholders including senior management, customers, staff teams and clients Ability to set and achieve targets via effective engagement with stakeholder groups Effective communication and presentation skills. Ensuring all aspects of maintenance and repairs are planned, dispatched and billed in accordance with strict KPIs/SLAs and in a safe working environment. Provide timely support to maintain the highest standard of statutory compliance.
