Responsibilities:
3. Control of contractors to include reactive works, overseeing PPM services and detailing handy man tasks
4. Raising work permits
5. Requesting and checking contractor RAMS
6. Control of site Access control system to include passes for contractors and visitors
7. Sourcing quotes for reactive works
8. Arranging dates for work to take place, checking work areas will be free and clear on those dates
9. Assisting Facilities Manager on project works as required
10. Assisting with Contractor audits
11. Daily site check to ensure all clean, tidy and no visible hazards
12. Rasing site PO’s, recording on site costs
13. Approve invoices in Esker and record on site costs
14. Maintain invoice budget sheet
15. Keep contractor contacts sheet up to date
16. Order consumables and stock items
17. Facilities work logs assigning and completing
18. Oversee Health & Safety boards and keep up to date
19. Answering co-workers queries in person, via email or IM
20. Managing day to day Access control system
21. Overseeing SHINE DSE system for site
22. Supporting switchboard when required
23. Overseeing Health & Safety walks
24. Supporting site Facilities Manager as required
25. Ensure office Health & Safety standards met
26. Supervise Facilities Administrator as required
27. Learn all site processes and procedures
28. Complete Risk Assessments as required
Knowledge, Skills and Experience
29. Strong administrative skills including good knowledge of excel and word
30. Understanding of safety regulations within office environment
31. Well organised
32. Attention to detail
33. Facilities experience
34. Good under pressure
35. Able to prioritise multiple issues
36. IOSH an advantage but happy to provide training
37. Legionella an advantage but happy to provide training
This role will be based in our serviced office in Bracknell 5 days per week and may include some trips to our Basingstoke office as and when required.
