We are thrilled to be supporting our client, a leading Scottish Law Firm, to recruit an Executive Assistant - Real Estate to join their team in Glasgow, on a full time permanent basis. You will work as part of a dynamic team, providing comprehensive executive assistant and administrative support to the Real Estate Practice Area in the Glasgow office. This role is integral to ensuring the smooth operation of the practice area and involves delivering an efficient, high-quality service to both internal stakeholders and external clients. You will contribute to maintaining professional standards, enhancing client satisfaction, and supporting the team in meeting tight deadlines and achieving their objectives. The role requires excellent organizational skills, adaptability, and a proactive approach to administrative tasks in a fast-paced environment. What youll do Schedule, amend, and organise appointments, meeting rooms, and refreshments as needed Proactively manage email inboxes, ensuring important messages are flagged, actioned, and properly filed Draft Letters of Engagement and other correspondence Open, maintain, and close files (electronically and in hard copy) Assist with post-transaction tasks such as registration filings, clause testing, and preparation of documentation bibles Manage data rooms and update client contacts and distribution lists Prepare reports, maintain records, and ensure accurate filing Draft fee notes, process expense claims, and pay invoices in line with internal procedures Assist with billing processes, monitor client balances, and liaise with cash room teams Prepare forms, letters, presentations, and legal documents, ensuring accuracy and adherence to branding Perform document comparisons using Workshare Compare Communicate professionally with clients and third parties via email, phone, and in person Organize and update profiles on social media platforms and assist with business development tasks such as tenders Attend team meetings, take minutes, and circulate action lists Provide ad hoc support to colleagues and assist with resource coverage during absences or busy periods Participate in telephone rota for lunchtime and holiday cover What youll need Experience in a busy Real Estate practice area or similar Confident under pressure, with the ability to meet tight deadlines Proactive, flexible, and able to take initiative Strong communication skills, with the ability to interact effectively at all levels A team player with a professional demeanor and an eye for efficiency improvements Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint) Familiarity with Elite, DMS, Bighand, and Workshare Compare (preferred but not essential) Strong organisational skills with the ability to multitask and prioritise Competent in document formatting and presentation Comfortable using social media platforms and managing profiles Willingness to develop IT and technical skills through CPD Prior experience as a Credit Controller used to dealing with a large portfolio of clients What youll receive Competitive salary Life Assurance Discretionary bonus Pension scheme Income Protection Electric car salary sacrifice Smart working policy Enhanced Family Leave And more Whats next?
