We are currently seeking a highly motivated and organised assistant to join our team and assist in managing and promoting the daily operations of our busy practice and continued expansion of our services.
Job Overview This is a public-facing role, albeit with a predominance of remote working.
We seek a friendly, confident and organised individual as the first point of contact for those reaching out to Lisle Medical, who are often unwell and frustrated.
You will be responsible for ensuring the smooth running of the practice’s daily operations.
This includes responding to telephone and email enquiries, managing appointments, maintaining patient records (clerical aspects only), coordinating with internal and external medical staff, and ensuring compliance with healthcare regulations in accordance with company policy.
You will play a key role in improving practice efficiency and ensuring excellent patient care as well as assisting with marketing and promotion of the service.
You will become acquainted with many of our valued patients and discretion will be vital.
Systems are largely cloud-based; therefore, remote working is preferred.
In time the right candidate could step up to being an Executive Assistant and financial controller in this expanding sector, therefore the role has career development potential.
Key Responsibilities Oversee appointment scheduling and patient communications, ensuring a seamless patient experience.
Liaise with our clinicians and external healthcare professionals/their PAs to ensure efficient delivery of care; develop and maintain effective working relationships with the same.
Undertake basic accounting responsibilities, including reconciliation, invoicing, billing, and basic bookkeeping, with the potential to transition into a financial controller role over time.
Ensure efficient storing, distribution, and ordering of office and basic medical supplies.
Continuously evaluate and enhance the practice’s internal processes to optimize efficiency and performance.
Assist with marketing the service via advertising and social media channels within a budget.
Key Skills & Qualifications: Excellent organisational and multitasking skills.
Exceptional communication and interpersonal skills, including clear written and verbal communication and technological proficiency.
Meticulous attention to detail and adept at problem-solving skills.
Complete discretion and adherence to the principles of patient confidentiality.
Proficiency in administrative tasks, including scheduling and record-keeping.
Familiarity with the geography of West Sussex, Hampshire and Surrey (desirable).
Prior experience in an administrative role, preferably within a healthcare setting (preferred but not required).
Experience in the healthcare sector and with healthcare software systems (desirable).
Ability to work independently and prioritise tasks, while also collaborating with team members.
Confidence to challenge existing working practices and implement improvements.
Experience of modern marketing methods Ideal Candidate: The successful candidate will be proactive, efficient, adaptable, friendly and discreet.
Experience in healthcare administration and/or marketing is preferred, but candidates with experience in running their own business or those with strong administrative backgrounds will also be considered.
