The Vi-Brent consortium is seeking a Programme Co-ordinator to join our team. The right candidate will be a great communicator with a keen attention to detail and a passion for growing cultural opportunities for young people. We are looking for someone with a strong personal connection to the borough of Brent.
Working with Punchdrunk Enrichment’s small but ambitious team, the Programme Co-ordinator will be responsible for coordinating key meetings between the consortium partners, maintaining regular and clear communication, whilst supporting on the delivery of key parts of the Vi-Brent Programme.
This role will also work in collaboration with Brent Council to administer the Brent Creates website, a new digital platform that will prove to be a key asset for growing culture within Brent. The Vi-Brent Programme Co-ordinator will act as the main point of contact for users, gather feedback, and collaborate with key stakeholders, including Brent Council’s Creative Enterprise Zone team and Brent Culture Service, to ensure the website continues to develop and grow.
A key project for the Programme Co-ordinator will be the Vi-Brent network – a network and forum for both arts organisations and freelancers working in Brent. The Programme Co-ordinator will support the Senior Producer to programme and deliver a series of workshops, guest speakers, cultural visits and shared training opportunities designed to enrich and strengthen the cultural sector. They will coordinate an annual ‘freelancers market’ where freelancers can meet staff from arts and cultural organisations from across the borough in one place.
This is a brilliant role for someone who is highly personable, naturally organised, and interested in developing a career in project management and producing. There will be plenty of opportunities to learn and assist on different aspects of the programme, therefore we are looking for someone who is proactive and keen to learn.
In this role, you will be the glue that keeps the network together, giving everyone the information and tools they need to be able to collaborate and thrive.
This is a part-time, three day a week role. This role will be mostly office based, and may include occasional evening/weekend work.
Responsibilities:
Coordination of the Vi-Brent Consortium & Network
1. Assisting the Senior Producer and wider consortium in the delivery of the Vi-Brent Programme.
2. Assisting Senior Producer in the scheduling of Vi-Brent Meetings.
3. Coordinating quarterly Board Meetings and regular Programme Meetings for the Vi-Brent consortium, including booking a venue, distributing agendas, purchase and preparation of refreshments, welcoming attendees and minute-taking.
4. Working with the chairs of programme working groups, including Communications, Fundraising, Mapping and Evaluation to ensure the groups meet regularly and feed back to the wider consortium.
5. Ensure regular communication to all partners, including fortnightly email updates.
6. Work closely with the Punchdrunk Enrichment communications team and communications working groups to support the development of key marketing resources, ensuring we reach and grow audiences and participants for the Vi-Brent programmes, and handle audience data securely.
7. To act as a welcoming and helpful first point of contact for all Vi-Brent enquiries, by telephone, email and when representing Vi-Brent at events.
8. Working with the wider consortium to programme and deliver Guest Speakers, Training Workshops, ideas exchange and creative opportunities for the benefit of the network.
9. To work with the consortium to coordinate an annual Freelancer Marketplace where arts freelancers will be able to meet with arts companies in Brent.
10. To provide producing and administration assistance for Punchdrunk Enrichment’s contributions to projects within the programme, which could include the work placement scheme, opportunities within primary schools, and our contribution to the festival.
11. Assisting with the administration of contracts and processing of invoices.
12. To be an enthusiastic advocate when representing the project and the organisation.
13. Keep clear financial records, working with the Senior Producer to manage budgets and track expenditure.
14. Work with the consortium to collect, monitor and submit data in line with our Mapping and Evaluation Strategy, and in accordance with the Arts Council funding requirements and reporting schedule.
15. Supporting any administration related to the programme.
Administration of the Brent Creates website
1. The Vi-Brent Programme Co-ordinator will oversee the website’s development, maintenance, and user experience, ensuring it effectively connects creative practitioners with audiences.
2. Implement strategies to increase website engagement, focusing on growing monthly visitors, the number of creative organisation profiles, the number of news stories shared via the website, and the volume of event listings.
3. Oversee ongoing growth of the website, focusing on creation of artist profiles, number of event listings, news stories, opportunities, and digital resources.
4. Monitor feedback on the website, ensuring it is easy to navigate, visually appealing, and accessible for both creative practitioners and audiences.
5. Work with Brent Council officers to resolve this by recommending changes that can be made through the website developer.

Person Specification Knowledge and Experience
Essential
1. Experience of living, studying or working in Brent.
2. Minimum two years of administrative or project coordination experience.
3. Experience working as part of a team in an arts or cultural organisation.
4. Evidence of coordination skills, including the ability to manage multiple conversations and projects simultaneously.
5. Excellent written and verbal communication skills.
6. Proven track record of managing a range of relationships: pro-actively keeping relevant stakeholders informed.
7. IT literate, with a good working knowledge of Microsoft Office packages and Google Drive.
Desirable
1. Experience of working on projects aimed at children or young people.
