Job Summary:
Kingston and Richmond Foundation Trust is seeking a dedicated and efficient Administrative Assistant to join our Gastroenterology team. As an integral part of our multi-disciplinary team, you will support the administrative functions of our clinical pathways, ensuring that information systems are accurate and up-to-date. You will liaise with patients, clinicians, and other staff to ensure smooth and efficient administrative processes, contributing to high levels of patient and clinician satisfaction.
Key Responsibilities:
* Handle telephone enquiries and provide a point of contact for service users and staff.
* Input and retrieve data on Trust IT systems in accordance with Trust policies.
* Open and manage daily post, ensuring timely and appropriate action.
* Assist colleagues during peak times and support the introduction of new technology and practices.
* Perform photocopying, scanning, and filing of documents as required.
* Organize and prioritize daily work tasks to meet set timescales.
* Book pre-op appointments and coordinate with TCI dates, follow up on DNAs, and arrange patient transport.
* Support discharge planning and manage cancellations and re-bookings.
* Maintain stock control and ensure the availability of necessary supplies and equipment.
* Demonstrate activities to new or less experienced staff.
* Ensure confidentiality and data protection in line with Trust policies.
* Provide high levels of customer care and act as an ambassador for the Trust.
Qualifications and Experience:
* GCSE or equivalent in English and Maths (grades A-C).
* Experience in an administrative role dealing with the general public.
* Proficiency in Microsoft Office, including Word and Excel.
* Excellent telephone manner and interpersonal skills.
* Ability to communicate effectively with people at all levels.
* Attention to detail and ability to prioritize tasks.
* Must have at least 6 months administration experience within the last 3 years.
* Experience in the NHS or healthcare setting is desirable but not essential.
