Due to the continued success of our private client department, we have an opportunity for a Private Client Secretary in our Penzance office. This is an exciting, fast-paced role working with a variety of clients and external agencies.
You will be working for the fee earners within the Private Client Department, performing tasks such as audio typing, opening files, providing updates to clients, photocopying, scanning, file closing and archiving as required, carrying out general administrative tasks, and using the case management system to produce and store documents.
The successful Private Client Secretary will possess:
1. Minimum 2 years’ experience as a Secretary is desirable
2. Excellent communication skills, both verbal and written.
3. Familiarity with dictation
4. Resilience and calmness under pressure
5. Excellent keyboard and word processing skills.
6. Good with numbers.
7. Excellent attention to detail and ability to take instruction.
8. Positive, friendly demeanor and understanding of confidentiality, organization, and teamwork.
The primary duties are as follows:
1. Using the electronic case management system effectively and maintaining up-to-date records
2. Diary management including arranging appointments, meetings, and diary notes
3. Opening files
4. Scanning letters and documents to case management
5. Carrying out AML searches
6. Typing of digital dictation including attendance notes, letters, and documentation
7. Printing letters and other documentation
8. Arranging storage and retrieval of legal documents
9. Filing and physical file management
10. Speaking with clients and relaying messages
11. Liaising with third parties such as Probate Registry, HMRC, and Land Registry
12. Closing files and transmitting them to archive
13. Any other duties reasonably required by the firm.
