Job Overview
Working autonomously but referring to a team lead or manager when necessary, you will be responsible for managing requests for Interpreter bookings and document translations across MFT. Working flexibly and collaboratively with our contracted providers, in-house interpreters and admin team, you will provide administration support and deal with queries.
You will follow agreed processes and procedures within deadlines as set out in service level agreements, supporting the delivery of effective and efficient services within MFT. Ensuring that end-to-end administration processes are carried out efficiently, while working with colleagues to ensure that they are continually reviewed and evaluated.
Main duties of the job
1. Managing Interpreter & translation requests and queries for MFT.
2. Acting as the first point of contact for all queries relating to Interpreter & Translation requests.
3. Allocating all interpreter requests to the relevant providers or in-house interpreters, ensuring that the right interpreter language is booked and confirmed by the provider, responding to email or telephone requests.
4. Liaising with the providers to address any issues in a timely manner and to escalate where required.
5. Database and spreadsheet management.
6. Responding to incoming queries into the department and escalating as required.
7. Using judgement skills when dealing with complex situations.
8. General Administration.
9. Managing and responding to the Interpretation & Translation Services email inbox in a timely manner and within the agreed service level agreement.
10. Data entry and the updating of spreadsheets.
11. General clerical duties e.g. filing, scanning, and photocopying.
12. Checking invoices for overpayment and incorrect charges, escalating discrepancies to management team.
13. Maintaining effective office systems, making maximum use of technology working towards the aim of achieving a paperless office.
14. Supporting the manager updating MFT staff on all the services that are available, telephone interpretation, virtual interpretation, face-to-face interpreters and document translations.

Person specification
Essential
1. Education to GCSE standard or equivalent; Knowledge of Interpretation & Translation Services.
2. Knowledge and experience of Microsoft Office applications e.g. Excel, Word, PowerPoint.
3. Proven experience of working to deadlines and problem-solving abilities.
4. Experience of working in a Healthcare Setting; Experience of Patient Administration Systems and/or electronic booking systems.
5. Effective written and verbal communication.
6. Use of initiative and ability to work unsupervised; Ability to prioritise and organise workload.
7. Data management skills.
Desirable
1. A minimum of 1 years’ experience in an administration or secretarial position.
