This market leading global tech firm requires a superstar EA. You will support the Chief HR Officer and Chief Marketing Office in an incredibly fast paced and rewarding role. Both individuals are impressive high performers, with very high standards but they are incredibly nice people. This is an extremely fast paced and innovative environment with a wonderful culture. The ideal candidate will have experience working at c-suite level from a fast-paced environment.
The following information provides an overview of the skills, qualities, and qualifications needed for this role.
Key responsibilities:
* Coordinate meetings with both internal and external partners across global time zones.
* Manage sophisticated calendars using Google Calendar. Tasks include scheduling, vetting, prioritising, and providing recommendations for calendar events.
* Proactively manage the leadership team’s calendar to ensure time is efficiently used and prioritised. Coordinate key leadership meetings and ensure logistics and preparation are in place.
* Run the events budget for the sub-department.
* Assist with event planning and coordination for team meetings, all-hands meetings, summits, QBRs, and off-sites.
* Process invoices, handle expenses, and expense approvals in a timely and efficient manner.
* Book travel and arrangements for the leadership team.
* Undertake ad-hoc administrative tasks and project support, as the need arises.
* Be a trusted colleague to the leadership team, working with discretion in all matters relating to the team, department, and wider business.
* Greet external guests as needed.
What we’re looking for:
* Prior experience in an Executive Assistant role, ideally within a global business, supporting multiple executives.
* A great teammate with a consistent track record of building effective relationships with the team and with colleagues internationally.
* Can work globally - understands time zones, cultural nuances, and different working practices.
* Flexible and adaptable.
* Works with a proactive approach and an ability to take initiative.
* Highly efficient and organised.
* Outstanding verbal and written communication skills with the ability to tailor communications to different audiences.
* Tech-savvy – proficient use of G-suite, Microsoft Office, Coupa, Zoom, and Slack.
* Able to provide support for international and sophisticated travel needs, providing flexibility on working hours when required. This includes: drafting travel itineraries, providing logistics assistance remotely, and assisting with visa processing.
* Fintech, Financial Services, or Tech industry experience is helpful.
It needs an EA who can be one step ahead of both individuals and support them holistically. You will act as a barometer, gatekeeper and second set of eyes and ears. Problem solving, thinking outside the box and being proactive are paramount. You will work very closely with the Chief of Staff who is fantastic and will be a great source of info and support. Whilst this is an incredibly busy role it is not 24/7 and they offer hybrid working (3 days in the office) and great benefits.
