About The Role
Facilitating office organisation and communication by performing administrative duties and acting as a receptionist. You will be working as part of an efficient team taking in bound queries from Clients, internal engineers and booking appointments. You will need to have an excellent telephone manner, experience of both outbound and inbound calling and be very customer focused. You will need to be flexible and will be expected to follow instruction by lead staff.
Job Duties will include:
1. Providing office support including customer and employee support
2. Keeping well-organised files and records of business activity
3. Researching company data and archived reports
4. Keeping computer databases up to date
5. Interacting with clients either on the phone or in person
6. Answering phones and connecting calls to the proper department
7. Taking phone messages and passing them on
8. Following up on business communications, billing, and ordering
9. Communicating with materials suppliers and vendors
10. Invoicing
11. Using spreadsheets to track expenses and company spending
12. Collecting and inputting company data
13. Making travel arrangements for employees
14. Learning about the company's mission and services
15. Building relationships with clients
16. Assisting with minor technical support
17. Acting as a personal assistant to the executive team
18. Scheduling appointments and events
19. Ordering office stationery and other supplies
20. Preparing meeting rooms
21. Participating in office meetings and taking meeting minutes
22. Giving feedback on office efficiency and suggesting possible improvements
23. Being ready for any other administrative tasks that are required
