M&C Saatchi Group is looking for a dynamic and proactive leader to join our UK workplace operations team. You should have a passion for delivering high-quality workplace operations services. You will oversee a wide scope of services that contribute towards the day-to-day workplace experience including facilities, ME&P, Despatch, Front of house, Security, catering, and housekeeping. Our team works in close partnership to deliver an exceptional working environment and seamless experience for all staff, visitors, and tenants.
This role is pivotal in expanding the internal and outward-facing customer relationships and delivery of consistent service standards across the portfolio, to support the implementation of the workplace operations strategy plans.
This is a full-time, in-office position with the expectation of working on-site five days a week. Occasional out-of-hours work may be required to manage projects outside of regular office hours and respond to emergencies.
What you'll do:
You will provide effective leadership and management of the UK Workplace operations team, driving efficiency and continuous improvement of service and providing effective contract management for outsourced services.
You will have day-to-day responsibility for the safe operation, function, and workplace operations for the UK offices. This will require you to work closely with your counterparts, peers, and senior stakeholders, managing various resources and teams to meet the demands of the business.
* Ensure all aspects of the Workplace Operations functions are being performed to the highest standards and ensuring all tasks and work are done safely, on time, and within budget.
* Take responsibility for compliance across all operations, for all health & safety standards, policies, and relevant legislation, including maintaining records and documents to ensure we meet all legal requirements, best practices, and organizational objectives.
* Have strong commercial experience to drive budget efficiencies and procurement improvements.
* Act quickly in emergencies, coordinating with emergency services and internal teams efficiently and effectively as needed.
* Work closely with clients, contractors, and technical teams.
* Manage services to meet performance standards and value-for-money goals.
* Champion, promote, and enforce a health and safety-focused culture.
* Have a customer-focused approach and emphasis on continuous improvement.
You will also:
* Be key in delivering the infrastructure and business systems required to enable the workplace operations to run successfully.
* Create a destination – using workplaces to create spaces people want to attend and add value to the office experience.
* Play an integral role in the development, compliance, and progression of group lead accreditations such as ISO’s.
* Provide support, coaching, and mentoring to all team members to encourage personal development and ensure everyone can work to the best of their capabilities to deliver the required levels of excellent service.
* Be a strong communicator and relish the opportunity to build strong working relationships with an extensive network of key stakeholders, including the executive team.

You will be able to demonstrate an ability to work collaboratively and effectively manage facilities management services, including a rounded understanding and experience in both hard and soft services. Well-evidenced experience in the leadership and management of a diverse internal team, working alongside a range of specialist external contractors will be required.
* Proven track record in successful service delivery within a highly customer-focused organization.
* Experience in managing both hard and soft facilities management services, and the ability to collaborate effectively with internal teams and external contractors.
* Up-to-date knowledge of environmental and workplace legislation.
* Experience conducting investigations, ensuring compliance, and recommending corrective actions.
* Provide guidance and support using Health & Safety and facilities management expertise.
* Responsible for the safe upkeep of the workplace portfolio and coordination with contractors, adhering to Health & Safety legislation and company procedures.
* Identify opportunities to enhance operations, appearance, and maintenance of buildings and offices.
* Manage and administer contracts necessary for running the buildings.
* Process routine repairs and requests with in-house teams or approved contractors.
* Oversee Planned Preventative Maintenance (PPM) and other maintenance works in accordance with policies and procedures.
* Manage matters arising from Building Health & Safety risk assessments and update the management system accordingly.
* Inspect buildings and offices regularly, reporting and addressing any issues.
* Create and review annual budgets, ensuring effective control over budgets related to properties, capital works, office moves, and projects.
* Develop strong working relationships with contractors and partner suppliers.
* Manage and supervise workplace operations teams, ensuring regular performance reviews, training, and development.
* Oversee security provisions, CCTV, and access control systems, liaising with contracted companies.
* Flexibility to work out of hours and be a point of contact for daily operations support.
* Plan and deliver major and minor refurbishment projects, managing and coordinating contractor works.
* Facilitate internal and external events, assisting in BCP and DR requirements.
* Qualified First Aider and Fire Marshal trained.
* Experience working across a diverse, multi-site estate portfolio.
Desired Qualifications:
* IOSH, Nebosh, or other related accreditations.
* Experience managing TFM support.
* Excellent communication skills with a focus on attention to detail and high-quality output.
* Great people management skills and the ability to build positive relationships.
* Strong IT skills, including a working knowledge of CAD.
* Member of IWFM, RICS, or another related organization.
