THE POST
We are currently seeking self-motivated, flexible and experienced Receptionists to join our St Bees School team in September 2024. The successful candidates will provide a friendly reception presence for the school in welcoming students, parents, staff, and visitors alike. The Receptionists will work closely with our Admin Manager in completing a varied range of administrative tasks to ensure the smooth running of the school.
HOURS OF WORK
We have two positions available covering the following hours of work, term-time only:
1. Morning shift 8.00am to 1.00pm Monday to Friday (25 hours/week)
2. Afternoon shift 12.30pm to 5.30pm Monday to Thursday, 12.30pm to 4.30pm Friday (24 hours/week
Main Responsibilities and Tasks:
· Be responsible for manning reception during term time
· provide a helpful, courteous and welcoming school reception service
· promptly answer all incoming enquiries by telephone, email or other methods
· complete the process of morning and afternoon registration by chasing up unauthorised absence
· be responsible for arranging lesson cover internally during staff absence
· open and or distribute incoming post and parcel deliveries
· use our internal Management Information System “Engage”
· ensure that staff, pupils and visitors use school systems and protocols when signing in or out and issues visitor passes as required. Organising refreshments for visitors as necessary
· maintain confidentiality at all times in respect of school-related matters and prevent disclosure of confidential and sensitive information
· monitor the reception email account and respond or forward as necessary
· carry out administrative duties to ensure the smooth running of the school
· keep the school reception area and displays neat and tidy
· assist with the organisation of school trips, including booking coaches and venues
· point of contact for daily school transport requirements and liaising with minibus drivers
· first aid cover and close liaison with the school nurse
· take the lead during fire drills and alarms ensuring sign in books are handed to the Designated Fire Marshal
· book school photographers, making arrangement for the day, distributing proofs and assisting with order queries
· overseeing vaccination requirements
· completing student charges forms
· continued personal development through completion of online training courses
· undertake general office duties
ESSENTIAL CRITERIA
· Experience of working in a school environment would be desirable
· able to convey a sense of enthusiasm for the school;
· able to summarise the school’s unique selling points (USP’s) clearly and simply;
· smart and professional in dress and appearance;
· a good administrative profile – well-organised, efficient, IT-competent;
· a good interpersonal profile – a track record of interacting positively with colleagues, whether local or international;
· a profile which is comfortable dealing with confidential issues
· higher-order writing and presentation skills, and a convincing interpersonal profile;
· drive, energy, commitment and stamina, able to work intensively;
· a person of integrity, able to work independently within delegated authority;
· able to work with humour and optimism in an intensive work environment.
