An exciting opportunity has arisen for a full-time Personal Assistant within West Division. This role will be based at Maidstone Police Station with the expectation of regular travel to Tonbridge Police Station and occasional travel to other sites as required.
As a PA, you will provide a full range of services, including taking minutes/actions, email and diary management, and producing correspondence to support the Senior Leadership Team (SLT). You will be responsible for arranging events on behalf of the SLT, such as Awards Ceremonies; therefore, experience in this would be an advantage.
Your responsibilities will include organizing meetings on behalf of the Senior Leadership Team, preparing all paperwork beforehand, distributing agendas, minutes, and reports as necessary, to ensure that all participants are prepared. You will attend meetings to provide PA support, taking minutes and actions as required, and occasionally provide administrative support for multi-agency county emergencies.
The post holder will be required to organize and prioritize their own workload, working independently and under pressure. Previous secretarial or administration experience is essential.
You will have knowledge and experience of various Microsoft packages, as you will manage diaries and emails using Microsoft Outlook, implementing and developing effective tools to manage a high volume of correspondence from various internal and external stakeholders, enabling the Senior Leadership Team to operate efficiently and effectively in respect of their core duties.
The commitments of the Senior Leadership Team can be fluid and dynamic. To support this, you should be flexible and able to make decisions to prioritize and adjust workloads to meet critical deadlines.
You will be part of PA teams within your Division and a wider county-wide team; therefore, evidence of strong communication and team working skills is desirable.
As the first point of contact for the Senior Leadership Team and a representative of Business Services, the post holder must have effective communication skills, self-confidence, and the ability to apply tact and diplomacy at all times. Previous experience in a customer service role is also beneficial. The role requires initiative and judgment to respond to and deal with problems sensitively and confidentially as they arise, without the need for support, therefore being innovative and open-minded would be advantageous.
A good general level of education, ideally to A level standard, with a GCSE or equivalent level pass in English language, is essential.
Kent Police offers smarter working, allowing some flexibility in terms of work arrangements. Due to the operational nature of this role, there will be an expectation to travel to the office at least twice per week, but occasionally more, depending on work requirements.
