Job Description
Corporate Services
Archive Assistants
City Chambers, Murrayburn Depot
Salary: £25,322 - £27,727
Hours: 28.8 per week (Tuesday to Friday)
We're seeking two people to support the Council's city archives service as Archive Assistants. They will do this by providing excellent customer service and appropriate care for our archive collections, which stretch back 900 years and take up 7.5km of space.
--What will you do?--
The two posts will manage our public searchroom in the City Chambers by taking bookings, engaging and supporting visitors in accessing archive items and ensuring the security of the collections through polite but firm invigilation. The posts will also produce and return archive items from our onsite (City Chambers) and offsite (Murrayburn Depot) stores.
The two posts will work on a rota basis across these two sites between Tuesday and Friday each week. You must be able to work these days and be comfortable working in a warehouse environment for half of your job.
In addition to these core roles, the two posts will respond to enquiries and undertake preservation work under the direction of the Senior Records and Archives Officer and Information Asset Manager.
There may also be opportunities to support our digital preservation programme and outreach activities.
--What will you need to know?--
We expect you to be qualified to SVQ4 level or equivalent.
You will need to have some customer service experience and experience working in a large organisation, preferably a local authority. We use Microsoft 365, so you will need to be familiar with its applications (i.e., Access, Excel, Outlook, PowerPoint, and Word). Some experience researching archives and using Axiell's CALM archive collections management solution will also be helpful but not essential.
The job also involves manual handling and working at height. Hence, experience and/or knowledge of appropriate techniques is valuable. We will train you if you do not have these already.
Likewise, knowledge of archive catalogues, storage standards, and web portals is useful. Still, you will pick these up on the job if you want to learn.
Finally, you should also understand broadly what a Scottish local authority does and what types of archives and records it produces when doing it.
--Who will you work with?--
You won't do this alone. Edinburgh City Archives is part of a 30-strong Information Governance Unit that ensures the Council's compliance with data protection, freedom of information and public records legislation. It works with colleagues from across the organisation and external partners, including the Scottish Government, regulators and statutory inquiries.
You will primarily work with the Senior Records and Archives Officer, who will provide day-to-day direction. The Council's Information Asset Manager will manage you.
As part of our goal to improve our organisational culture and create a great place to work together for the people of Edinburgh, we want to make sure that we’re bringing the best people into our roles, not just in their skills and experience but also in their approach to work.
To help achieve this, we’re changing the way we interview and assess candidates by moving from a competency-based interview approach to a behavioural and technical (skills for the job) based approach. This new way of interviewing will allow us to assess how you think and how you would bring Our Behaviours of Respect, Integrity and Flexibility into your ways of working.
Requirements
We're committed to creating a workplace culture where all our people feel valued, included and able to be their best at work, and we recognise the benefits that a diverse workforce with different values, beliefs, experience, and backgrounds brings to us as an organisation.
