Job Description:
To be successful in this role, you will need to be innovative, resourceful, adaptable, enthusiastic, and able to demonstrate a strong commitment to executive administration. You will use your knowledge and experience as an excellent communicator, with outstanding organisational skills and be meticulous in your attention to details. You will also be engaged in building relationships across the organisation at all levels and need to be proficient in Microsoft Office.
Key Responsibilities:
* First point of contact and gatekeeper for the Finance Director, managing their mailbox diary, ensuring that all meetings are appropriately prepared for and reprioritising their time to ensure they can operate efficiently.
* To deal with the full range of queries to the Finance Director from internal Managers/Directors and external agencies, such as HMRC, insurance and government agencies.
* To research and collate information and statistics as required to enable the accurate drafting in preparation for the account monthly meetings, preparing Director’s reports, documents and correspondence.
* To provide support for meetings.
* Responsible for handling highly sensitive and confidential information including confidential financial matters, complaints, ensuring discretion and diplomacy.
* To prepare for and attend meetings as directed, ensuring that all paperwork/reports are provided.
* Exercising judgement and discretion in determining priorities daily and ensuring that all callers for the Finance Director receive the highest standards of customer care.
* Responsible for accurately transcribing recorded or dictated minutes/information, and compiling relevant documents within a tight deadline when required.
* Responsible for ensuring that in the absence of the Director, all queries are followed up and responded to.
* Smaller business SAGE Entries.
Other Responsibilities:
* Provide reports for the Finance Director as required.
* To support and attend meetings, recording key actions and following up on behalf of the Finance Director.
* To engage in project coordination work.
* Undertake any other appropriate duties as required to support the finance function.
Ideal Candidate:
* Experience in accounts.
