UK & International Payroll Specialist Job LocationsUK-Basingstoke | UK-LondonPosted Date14 hours ago(04/02/2025 17:09)Job ID2025-1339 of Openings1CategoryBusiness support Overview The UK & International Payroll Specialist is responsible for the ownership of end-to-end payroll activities across all of our UK and International offices; ensuring accuracy and compliance of internal controls and processes, processing monthly payrolls timely and accurately, analysing payroll results, management of payroll systems and resolving problems and issues. This position requires strong attention to detail and accuracy, ability to analyse, troubleshoot, and communicate key findings. We are looking for an exceptional team player with a strong understanding of payroll who can work independently and partner with the wider Human Resources and Finance teams. Responsibilities Key responsibilities include: Ownership and overall responsibility of end-to-end monthly payroll processing across UK and International offices. Stakeholder management and collaboration with third-party payroll providers for each respective country to ensure timely and accurate inputs to the processing. Manage and align local payroll calendars and deadlines with stakeholders and payroll providers. Liaise with internal stakeholders (HR, Finance, local Office Managers) to obtain and collate fixed and variable payroll-related data (from multiple data sources), including annual salary and bonus review data. Ensure submission of monthly payroll data (including employee data) is provided accurately, consistently and ahead of established deadlines in the required format (system interface, standard input templates) ensuring compliance documentation is provided. Monthly reconciliation, validation and approval of payroll calculation outputs, in compliance with statutory legislation and company policies. Review, approve and upload monthly payroll sign-off via third-party portal. Reconcile monthly journal and posting to Finance system. Gather payroll information (policies, process flows, legislation, etc.) to facilitate payroll knowledge and keep up-to-date with legislative changes. Manage all payroll related administration and records, ensuring full compliance in accordance with local laws. Liaison with wider Finance and Tax team to ensure various extraordinary processes are accurately considered from a tax and payroll perspective. Ensure pay documents (payslip, P45, P60) are made available via HR system, or otherwise as required. Ensure monthly payroll reports are made available to key stakeholders, as appropriate. Key point of contact for all UK and International payroll related queries (employees, central team stakeholders, external auditors). Manage out-of-cycle payments where required, ensuring that the payment is correctly accounted for in the next regular pay period. Responsible for UK P11D reporting and payrolling benefits in kind process. Work with third-party providers to accurately produce and sign-off Year End payrolls. Act as advisor to HR team when implementing new policy and reward structures from a payroll process, liaising with wider Finance and Tax teams as appropriate. Manage payroll system upgrades, and system integrations, in conjunction with third-party payroll providers. Ensure payroll procedures are kept up-to-date, identifying continuous improvements opportunities - including an initial review of existing processes. Support payroll audit activity and the HR and Finance teams with key projects and ad-hoc support as required. Ensure full collaboration with the HR and Finance Teams and external stakeholders at all times. Essential & Desirable Criteria Payroll Specialist Certificate and CIPP membership required. Experience with third-party provider supported payroll processes, to include international exposure. A solid understanding of employee payroll and benefit programs. Excellent attention to detail to maintain full data quality and accuracy. Excellent knowledge of MS products, advanced Excel skills essential. Excellent communication and stakeholder management, with strong interpersonal skills. Strong problem solving and analytical skills. Professional, organised and proactive self-starter, must have the ability to work alone and on own initiative but within a team environment. Flexible, reliable and approachable. Unquestionably discreet, with the ability to regularly handle confidential information. Ability to travel to our other UK offices as and when required.
