The Sales Coordinator is primarily responsible for supporting the Senior Sales Manager with new business group opportunities and sales activities whilst assisting in the day-to-day administration of the Hotels existing Corporate and MICE accounts. To support the Sales Team with all guest enquiries, questions and requirements for reservations of Hotel rooms in a helpful and speedy manner. To support all other departments, ensuring that all guest account information is updated on a daily basis and that guests have an enjoyable experience from the sales process to guest stay and post departure. To be responsible for the day-to-day duties with accepting and entering individual/groups reservations in the systems. What you will be doing: Assist with an allocated portfolio undertaking complete account tasks, supporting the Senior Sales Manager with maintaining, servicing & developing the accounts, growing revenue and tracking production. To assist with the account production and support the Senior Sales Manager with conversion of Business groups and MICE as set down from existing and/or potential clients by preparation of contracts and related documentation. To assist with responding to group requests from time to time as set by your line manager. To record all objectives and planned activities for any managed accounts, ensuring the information is up to date at all times. To work effectively making sure all group/reservations inquiries are entered in the systems in a timely manner. Assist the Senior Sales Manager with enquiries for group bookings as required, communicate immediately, and provide a reply or confirmation within a reasonable timeframe (24 hours). Handle any other department issues related to groups (follow up on prepayment, routing, vouchers). Preparation of group information sheets (group movements) and briefing of all involved prior to arrival of group. Assist with in-house marketing activities, fam-trips, client hospitality evenings, presentations, show rounds and promotional activities, as well as take minutes during department/client meetings and produce notes in a professional and organized manner when required. Assist with office administration ensuring all accounts have on file the necessary documentation, contracts, contact forms, and up to date Account Development Plans. To work closely with the Senior Sales Manager in order to assist with the achievement of the overall sales target for the hotel on monthly basis or when required. Promotes and maintains good public relations with PCOs, travel agents, airline companies and commercial organizations and solicits business for the hotel. To help and advice non-residents / visitors with their general needs. Resolve guest problems and complaints as appropriately and professionally as possible. To carry out any other reasonable duties that may be required in line with the business demand.
