An exciting opportunity has arisen for a fixed-term Band 2 Receptionist / Administrator role at Inclusion Thurrock IAPT services. This role is part time hours, Monday to Thursday. A job share will be considered if suitable for the service and successful applicants. The work can be varied and involves reception work, face-to-face and telephone contact with service users and organizational duties for therapists and managers. The admin team and reception are often praised and complimented for their response to clients and for providing a calm, welcoming, and professional first contact. Inclusion Thurrock is an IAPT service providing psychological therapies within primary care to patients with mild to moderate mental health issues. The main priority of this position is to work as part of the administrative team providing general reception and administration duties for the Thurrock Mental Health Service, working with our established processes, policies and procedures to provide a comprehensive high-quality service and deal efficiently and courteously with patient enquiries. Your regular duties in this role will involve dealing with face-to-face service users, as well as telephone and electronic enquiries. This includes booking and/or amending patient appointments, contacting patients to provide information from the clinical team, and assisting patients to access our services. Summary of Duties and Responsibilities: Carry out administrative tasks, including sending and receiving emails from the Admin Team mailbox, ensuring confidentiality is maintained. Respond promptly to all incoming telephone calls and emails to ensure urgent matters are dealt with promptly, with messages recorded and relayed accurately. Monitor any voicemails received and respond/action these promptly, including any appointment cancellations or rescheduling of appointments. Deal with enquiries to the service by patients and their family, health professionals. Attention to detail is vital in this work at all stages of data entry, taking, and recording messages and communications within the service. Enter data accurately according to IAPTus programme requirements and service procedures. Extract information on request to assist Locality Manager and Clinicians. Provide high-quality administrative support to the multi-disciplinary psychological therapies team, including room bookings, responding to staff sickness alerts, and batch distribution of patient correspondence.
