Salary : Base salary: £32,050pa to c.£37,700pa depending on skills and experience. In addition, we offer flexible benefits fund of 15% which is paid on top base salary and is fully pensionable, as well as a range of competitive benefits - check them out in the Benefits section on our website.

As a Property Management Assistant at HS2 you will be be supporting the Property Management team in their day to day duties and working with their appointed agents to effectively manage property acquired for the scheme.
About the role:

* Act as a first point of contact for enquiries and to ensure the team responds quickly to requests from property agents, HS2 Ltd colleagues and external stakeholders
* Supporting the Head of Property Management, Senior Property Management Surveyor and Property Management Surveyor in monitoring and managing tenancy, occupational, repair, Health and Safety compliance and financial matters relating to acquired property route wide
* Assist with the production of reports for the Department for Transport to justify capital decision making on large property repair and refurbishment projects
* Assisting in the escalation of issues relating to ensuring constructional survey access to managed properties, working closely with managing agents and HS2 suppliers
* Carry out monthly checking and reconciliation of expenditure and income in accordance with HS2's Property Management Financial Reconciliation Process
* Assist HS2's property acquisition possession programme and provide input to facilitate the handover where necessary of vacant possession of managed properties required for construction.
* Liaison with managing agents and internal and external solicitors, including issue of instructions where necessary for the recovery of rent arrears and tenancy enforcement issues.
* Review to ensure documents including case-sheets for letting, lease event management and repair works provided by managing agents contain all relevant information prior to submission for approval by Head of Property Management Senior Property Management Surveyor or Property Management Surveyor.
* Support with the review and reporting on managing agent KPI performance in relation to repair, compliance, marketing and letting of properties.
* Assist with the review of building specifications, tenders and budget costs for property repair cases and monitoring of building scheme trackers.
* Provide assistance to ensure that records of land and property interests are kept updated and accurate and standard documentation is used by managing agents and acquisition suppliers
* Support and assistance with general property management administrative tasks.
* Contribute to the team's preparation for maintaining ISO9001 accreditation for quality management.
* Be the local champion for internal systems and processes to help optimise efficient working and data management within the HS2 Property Management team.
* Attendance where requested to represent HS2 Ltd at Public Consultation events.
* Identify areas of interest for your own personal development.
About You:
Skills:
* Ability to compile and analyse data, and present and produce reports to effectively communicate with stakeholders
* Manage communications and negotiations in a tactful way
* Effective organisational skills and the ability to prioritise conflicting deadlines
* IT skills including word processing and spreadsheets.
Knowledge:
* Knowledge of data and information management within a property management role.
* Building defect, repair, maintenance and refurbishment knowledge
* Awareness of all types of property, the method of holding an interest in property e.g. leasehold/freehold, and other current uses for property along the HS2 proposed route
* Knowledge of or experience in analysing property costs and refurbishment requirements to produce maximum commercial returns
Type of experience:
* Experience of working with suppliers to develop effective working relationships.
* Property Portfolio Management plus other relevant property experience or background
* Experience in reviewing property related documents including leases, tender analysis, building condition surveys and valuations
* Experience of working in a busy environment requiring the undertaking of multiple tasks simultaneously
