Job Description:
This is an onsite position located in Champaign IL
The Fleet and Facilities Manager is responsible for overseeing the maintenance and operational efficiency of company buildings, grounds, and vehicle fleet. This role ensures compliance with state and federal regulations, manages service contracts, and develops training programs. The ideal candidate will possess strong communication, planning, and project management skills and the ability to manage multiple tasks.

Facility Management
* Inspect & maintain building structures, telecommunications huts and cabinets, parking lots, and grounds, ensuring multi-site facilities are safe, secure, operational with all utilities functioning. Systems include and are not limited to fire protection, plumbing, electrical, office furniture, floor coverings, ceiling, roofing, HVAC, solar, generators, access control, alarm systems, doors and windows.
* Create, document, and manage preventative maintenance programs for all buildings, landscaping, and building equipment. Register and manage warranties.
* Supervise facilities staff.
* Coordinate repairs and maintenance work between internal staff and external contractors and janitorial services.
* Manage and review service contracts, validate, and document work completed by fleet and facility staff, vendors and contractors.
* Respond to employee requests and/or alarm conditions.
* Conduct and document regular facilities inspections.
* Maintain grounds, including snow removal, lawn, and landscaping.
* Manage work within capital and operating budgets. Maintain stock levels and parts within budget. Assist with preparing budgets for facilities and fleet.
* Ensure compliance with state and federal regulations.
* Manage utility installation, contracts, refuse services.
* Take part in safety and sustainability initiatives and committees.
* Oversee security of buildings and grounds.
* Maintain ongoing communication with contractors, clients, and employees.
* Contribute to facility support activities such as office moves, area reconfiguration, painting.
* Occasional travel to offsite facilities or for training/education/seminars may be expected.
* Assist with reviewing insurance coverage and claims related to facilities.
* Be on-call for emergencies.
Fleet Management
* Plan and source vehicles and equipment assets to best match company needs.
* Negotiate purchases and coordinate delivery of new assets.
* Establish and maintain relationships with manufacturers, dealers, and vendors for vehicle and equipment purchases, service, parts, and supplies.
* Sale and disposal of used or unneeded assets.
* Assess breakdowns, systematically identify problems, and restore to operation.
* Ensure fleet and equipment are tracked and insured.
* Coordinate fleet and equipment repairs for insurance claims (damage, loss, and theft claims).
* Develop and maintain a preventative maintenance and repair program to minimize downtime and costs.
* Communicate with drivers and managers across the company regarding fleet needs, maintenance, and safety.
* Analyze and report on fleet performance, budgets, and operating costs.
* Supervise fleet maintenance staff.
* Comply with all State and Federal regulations in terms of vehicle and equipment registration and safety.
* Assist with development of vehicle use policies. Maintain ongoing communication with contractors, clients, and team.
* Assist in developing training programs for drivers, fleet and equipment.
Required Qualifications:
* Bachelor’s degree in a related technical, scientific, or engineering discipline and/or equivalent experience preferred.
* Minimum of 5 years of fleet and/or facilities maintenance experience.
* Minimum of 2 years in a trainer or supervisor role.
* Project management experience
* Previous experience managing a repairs and maintenance program budget.
* CDL A with air brakes and tanker endorsements required.
* Familiar with federal and state rules and regulations (FMCSA, DOT, IFTA, IRP, etc)
* Flexible to travel.
* Must pass a physical and drug test.
* Experience creating and implementing training programs.
* Experience in vehicle and/or equipment repairs and maintenance.
Desired Qualifications:
* Previous facilities maintenance experience required (4 years minimum)
* Experience managing service contracts.
* Experience with running and maintaining construction equipment.
* Demonstrated experience planning, developing, and implementing facility improvement programs.
* Strong technical knowledge of EPA / OSHA regulations.
* Must be a well-organized, detail and customer (internal and external) oriented self-starter.
* Knowledge of the principles and techniques of building trades or mechanical repair work.
* Proven project management skills.
* Ability to provide detailed reports and develop safety procedures.
* Ability to prioritize tasks especially when handling an accident or incident.
Physical Requirements:
The successful candidate will be able to perform the following with or without reasonable accommodation:
* Must be able to walk, stoop, kneel, bend, crawl, and move through a job site.
* Ability to comfortably lift 50 lbs and push up to 75 lbs, climb ladders, work outside and on rooftops.
* Ability to sit for prolonged periods.
* Must be able to wear Personal Protective Equipment (PPE) when required.
* Must be able to be active for 10+ hours per day.
Compensation & Benefits:
The salary range for this position is: 84,000-126,000 annually
Actual base pay for this job will depend on the candidate’s primary work location and other factors, such as relevant skills and experience. Pavlov Media is committed to complying with the Equal Pay Act and places a strong emphasis on internal equity when determining compensation. Final pay will be determined based on the candidate’s skills, experience, and alignment with our internal equity standards, ensuring fairness and consistency across the organization. The salary banding for this role also allows room for growth, with opportunities for pay increases within the band based on performance and contributions.
