We are looking to recruit a new team member to join our busy Administration Department, working across two/three main duties within the office.
Medical Secretary
* Provide a full and efficient secretarial service to the Doctors and Practice clinicians, including audio-typing and ensuring that all documentation (for example, referral forms) is produced to an excellent standard.
* Action 2 week wait referrals ensuring the patient has an appointment.
* Ensure that all Referral pathways are correctly completed on NHS E-referral systems.
* Use multiple computer systems as required within the team such as EMIS Web, NHS E-Referrals, Docman, Adastra, Outlook, and Excel.
* Ensure accurate patient information is recorded while using the clinical system in line with Information Governance policy.
* Ensure that email referrals are sent in a timely manner and in line with Surgery protocol.
* Resolve problems related to the Choose and Book system, including dealing with rejected referrals.
* Liaise with external agencies such as secondary care and community services.
* Keep up to date with DRSS and referral services processes and update the clinical system with new referral templates.
* Action any tasks deemed appropriate by management when availability allows.
Admin
* Use the computer daily, utilizing the Practice clinical system.
* Maintain quality and accuracy of all data input.
* Enter all correspondence onto the Practice clinical system using read codes where appropriate.
* Arrange appointments as requested and take messages when appropriate. Deal with any telephone enquiries and always answer the telephone in a polite and professional manner.
* Perform any reasonable administrative tasks as requested.
Prescribing
* Process repeat prescriptions daily, ensuring compliance with practice protocol.
* Access the generic email account to deal with emailed requests and other queries.
* Monitor Patient Access requests received and move them to the patient’s usual GP as appropriate.
* Ensure all current medication has relevant, current authorisations.
* Deal with prescription queries from a range of healthcare professionals including GPs, nurses, community pharmacists, nursing home staff, and reception/administration staff at the practice.
* Work closely with the prescribing support Pharmacist and act upon any relevant prescribing changes as instructed to assist with QOF compliance and prescribing targets.
