EXECUTIVE ASSISTANT TO SENIOR MANAGEMENT TEAM (SMT)
Reports to: Principal and the Business & Strategy Manager
Job Type: Full-time, 52 weeks of the year with 28 days annual leave.
Job Purpose
The Executive Assistant (EA) will provide comprehensive support to the Principal and the Business & Strategy Manager, ensuring smooth operations across the organisation's diverse activities. Acting as a gatekeeper, liaison, and administrative coordinator, the EA will contribute to the effective management of Emil Dale Academy (EDA), its subsidiaries, and associated programmes.
Key Responsibilities
1. Administrative Support
o Act as the primary administrative support for the Principal and Business & Strategy Manager.
o Prepare meeting agendas, document minutes, and follow up on action points.
o Facilitate correspondence and documentation related to the degree and BTEC programmes.
o Draft, update, and quality-check critical business documents, policies, and training materials.
2. Operational and Strategic Assistance
o Collaborate with the SMT on project management for events, business initiatives, and critical company projects.
3. Liaison and Communication
o Serve as a gatekeeper, managing communications to and from the Principal and Business & Strategy Manager.
o Act as a liaison between staff and senior management, ensuring critical information is communicated effectively and in a timely manner.
o Assist with internal and external reporting, fostering clear communication across departments.
o Ongoing liaison with alumni/ graduates.
o Creating/ drafting and sending marketing emails for the Factory Playhouse and EDA.
4. Event and Course Management
o Assist with planning and executing events, including logistics, documentation, travel arrangements, and external communications.
o Support the management of BTEC and degree qualifications from both a curriculum and administrative perspective.
o Represent the organisation at outreach events, such as open days, induction sessions, workshops, and agent days.
5. Confidentiality and Compliance
o Handle sensitive information, including business management, contracts, and HR matters, with the utmost confidentiality.
o Assist in tracking wages and reporting on spend; access to banking information which requires utmost confidentiality.
o Ensure compliance with EDA’s policies, procedures, and safeguarding protocols.
6. Staff Support and Training
o Assist with hiring and gathering required documentation for new staff.
o Support quality management of staff and courses, always adopting a whole-school approach.
o Manage the single central record of staff, including obtaining all critical documentation for new permanent and freelance staff.
Specific Expectations
* Attendance at departmental and interdepartmental meetings, including those with university and school partners.
* Engagement with ongoing training in safeguarding, equality, diversity, and inclusivity.
* Presence at EDA productions and events where student performances occur.
* Monitoring and reporting on data related to both business activities and student performance metrics.
Person Specification
Essential Skills and Qualifications
* Educated to degree level or higher.
* Ideally with proven experience in a similar Executive Assistant or administrative role.
* Strong organisational skills, with the ability to multitask and prioritise.
* Excellent verbal and written communication skills.
* Highly competent typist with attention to accuracy and detail.
* High proficiency in office software (e.g., Microsoft Office Suite including Teams).
* Proficiency in Excel for data management, and Canva for design tasks.
* Discretion and ability to handle confidential information responsibly.
Desirable Attributes
* Knowledge or experience in the musical theatre or performing arts training industry.
* Familiarity with academic programme administration, particularly in higher education settings.
* Strong interpersonal skills, able to build and maintain relationships at all levels.
Remuneration
The role includes the following benefits:

Salary: £25,000 - £27,000 depending on experience.
