Description We are recruiting a Governance Office Administrator for a public sector client in Surrey, London. To liaise with chairs, critical members of committees, and senior staff members demonstrating a commitment to the vision and service standards. They will organise papers, take minutes, organise diary invites, and do any other administrative work required for the committees. In addition, it will support the work of the Secretary and the Senior Governance Officer. This active, hands-on role will involve prompt responses to short-notice requests. Responsibilities Responsible for organising committee meetings, sending out papers, and following up on arising actions. Book meeting rooms and refreshments when needed. Take minutes/actions for conferences and any associated record or administrative function as required. Qualification – Essential GCSE Grade (or equivalent) in English Language and Mathematics. Educated to degree level. PA/secretarial qualifications or proven senior administrative experience Advanced –Microsoft Office, Word, Excel, Outlook, PowerPoint, and Social Media. Qualifications, Knowledge & Experience Requirements - Criteria-to be Tested at Shortlisting. Excellent interpersonal skills, including a professional approach and manner whilst working with confidential and sensitive issues and data with tact and discretion. High-level organisational and prioritisation skills, with the ability to manage a variety of tasks at the same time and the flexibility to cope with busy periods. Ability to work on initiative with minimal supervision, showing a high self-reliance. Excellent verbal and written communication skills in spoken and written English, including the ability to draft documents, correspondence, reports, etc. Excellent IT skills, including MS Office, and learning new systems and programmes. Experience in creating and maintaining effective electronic data management systems. An ability to pursue tasks until results are achieved, manage workflows and remain calm under pressure. A demonstrated commitment to professional customer service, with the ability to communicate effectively, building relationships and networks with stakeholders at various organisational levels. A proven understanding of office and administrative procedures. Excellent diary management skills and the ability to organise events. Experience in attending/servicing committees, taking minutes and actions. Experience working in an HEI or similar organisation Awareness and knowledge of higher education and current sector issues. Understanding of and commitment to equality, diversity, and inclusion. Ability to work occasional weekends or late evenings and travel to events and other external activities as required.
